Skaggs School of Pharmacy invites applications for a Program Coordinator II to join their team.

University of Montana Skaggs School of Pharmacy (SSOP) invites applications for the position of Program Coordinator II. This position will serve as a program coordinator for the SSOP and assistant to the SSOP Dean.

The responsibilities for this position include:
  • Assistant to the Dean of the Skaggs School of Pharmacy (35%)
  • Program support to the Office of Experiential Education primarily related to assisting with the Doctor of Pharmacy students’ on-site onboarding (40%)
  • Program support to the Director of Academic Affairs and Assessment in the SSOP related to the Pharm.D. program, course and final exam scheduling (15%)
  • This position will also provide a limited support to the SSOP graduate programs (10%)
This position requires the knowledge of Microsoft Office and Outlook and development of working knowledge of UM specific databases (including BANNER, UMDW, DataPortal, GrizMart, CourseDog, Qualtrics, Cascade, etc.), University of Montana policy and procedures for academic course scheduling and Doctor of Pharmacy program, and developing a working knowledge of the Doctor of Pharmacy program and the SSOP two graduate programs.

  • Demonstrated experience with event planning
  • Demonstrated skill in the operation of personal computers and related word processing, spreadsheet and database software, as well as the ability to update web content (MS Word, Excel, Outlook, Access, Publisher) with the ability to learn new software
  • Knowledge of standard office practices and procedures, business English, spelling, grammar, composition, proofreading and ability to edit materials
  • Demonstrated office management skills including appointment scheduling, using standard office equipment: copiers, fax machine, multi-line phone system, scantron readers, and printers
  • Demonstrated ability to exercise good judgment and solve problems in a complex environment
  • Demonstrated ability to take initiative and find creative solutions to problems
  • Excellent written and oral communication skills, interpersonal relations, and strong service orientation
  • Ability to work with diverse groups of individuals and utilize effective conflict resolution skills
  • Ability to learn UM specific academic policies and procedures
  • Ability to maintain confidential records and adhere to FERPA requirements
Minimum Required Experience
  • High school diploma and 4 years' of closely related experience; or any combination of experience and education that provides the competencies necessary to successfully discharge the duties and responsibilities assigned to the position
Preferred Qualifications
  • Bachelor's degree in a related field
  • Working knowledge of University of Montana infrastructure, policies and procedures or other institution of higher education
  • Experience with Qualtrics and E*Value
  • Previous experience in a customer service setting

Position Details

Position Title: Program Coordinator II

Department: Skaggs School of Pharmacy

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year

Salary: $16.25/hrCurrent employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department .

Probationary Period: Six months minimum
