HR Business Services is seeking aHR Assistant who will assist with a variety of personnel and administrative duties. This includes providing general office support for leave and records function, which will involve setting up and maintaining personnel files, processing paper employment verifications, processing Family and Medical Leave requests and sending approvals for non-maternity related Short and Long Term Disability to departmental HR contacts.

Specific Duties & Responsibilities:

    Create and maintain staff personnel and FML files in the ONBase system. Employment verifications: process written and verbal requests from both employees and vendors; Worker’s Compensation requests; Nurse Corps database. Process wage verifications and approvals related to Worker’s Compensation claims. Serve as webmanager for the Work Number Answer routine and basic questions from employees and departments related to the FMLA process. Answer phone lines and triage calls if necessary. Working knowledge of the E210 system in order to assist employees and departments with basic questions related to time and attendance. Maintain HR Business Partner and Departmental Contact lists. Retrieve archived files from Iron Mountain Prepare files to be sent to Office of General counsel to respond to subpoenas. Other duties as assigned.

Minimum Qualifications (Mandatory):

    High School Diploma/GED required. Two years related experience required. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Special Knowledge, Skills, & Abilities:

    Excellent interpersonal and communication skills and ability to maintain confidentiality and security of personal information.

Technical Qualifications or Specialized Certifications:

    Basic knowledge of Word, Excel and SAP.

Physical Requirements:

    Standing, sitting, bending. Lifting of >10 pounds. Use of upper extremities for computer work and filing.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
