Duties and Responsibilities
- Research potential funding resources for CAA faculty and staff
and align these opportunities with defined research areas and
needs.
- Liaise with the Office of the Vice President for Research,
Economic Development and Graduate Education to remain apprised of
current MSU policies and opportunities, as well as changes in
federal, state, local and international proposal submission
processes.
- Cultivate a culture of extramurally funded research that
recruits PIs and acquaints them with processes, protocols and
expectations related to successful extramural grant
acquisition.
- Facilitate communication between PIs and administrative support
staff from multiple institutions.
- Develop and support faculty in managing sometimes aggressive
timelines for proposal submission.
- Craft language to align projects with agency and grant program
goals.
- Identify opportunities to strategically highlight project
resources, partnerships, and accomplishments.
- Assist with all steps of grant proposal submissions.
- Coordinate effectively with the Office of Sponsored Programs
(OSP) including developing and maintaining timelines for people at
multiple agencies.
- Provide information and/or assistance with proposal budget
preparation, policies and procedures.
- Connect PIs with other campus and Montana University System
(MUS) researchers for interdisciplinary collaborations.
- Review and edit grant proposals prior to submission to ensure
language is clear, concise, and meets the requirements of the
RFA.
- Coordinate with Office of Research Development on grant- and
research-related training and workshops to increase awareness of
and engagement with extramural funding opportunities.
- Advise on compliance issues such as human subjects and conflict
of interest.
- Work with OSP to establish grant indices and distribute monies
to institutions and sub-awardees; * Clarify fiduciary
responsibilities of PI's.
- Answer questions about grant-funded projects including
allowable expenses;
- Assist OSP with transfers of grants between
institutions.
- Provide guidance in successfully closing out a grant.
- Proposal Development encompasses: - Project management .
- Supports team building, collaboration and conflict
management.
- Ensures that teams meet milestones towards successfully
submitting grant applications.
- Provides support by providing timelines, conducting proposal
meetings, collecting documentation, drafting proposal development
templates, and interpreting application guideline
requirements.
Required Qualifications – Experience, Education, Knowledge & Skills - Demonstrated knowledge of the pre-award research administration
process and sponsored grant life cycle.
- Demonstrated knowledge of research compliance as it relates to
proposal submission and grant management.
- Experience with a variety of extramural funding sources and
opportunities.
- Experience applying and interpreting applicable institutional,
local, state, and federal regulations and related standards,
guidelines and policies.
- Experience with spreadsheet, word processing, database and
email software such as Microsoft Word, Excel, Outlook, PowerPoint,
Project, and Publisher, in order to establish and maintain detailed
record- keeping systems.
- Experience composing, formatting, and proofing business
correspondence with a high degree of attention to detail, impact
and accuracy.
Preferred Qualifications – Experience, Education, Knowledge & Skills - Experience with grants and other funding opportunities aligned
with the arts, architecture and creative industries. The College of
Arts & Architecture includes scholarship within studio arts,
art education, art history, graphic design, architecture, urban
planning, sustainability, music performance, music education, music
technology, film, screenwriting, production and photography
(digital, analog and alternative process)—as well as Montana
Shakespeare in the Parks.
- Knowledge of fiscal management, or previous experience working
in a higher education setting.
- Experience with state and/or federal reporting.
- Experience researching grant sources, applying for grants, or
reconciling grants from external funding sources—especially those
connected with the creative industries.
- Experience aligning interdisciplinary initiatives with
appropriate grants and other funding opportunities.
- Demonstrated ability to communicate in a team setting.
Familiarity with social media platforms, video production, website development, and videoconferencing systems as tools for effective communication. - Experience with budgeting and accounting principles, including;
grant reconciliation, budget implementation, and researching and
compiling data into reports.

effective manner, while providing a high level of customer service
to a variety of constituents, including information that can be
sensitive, confidential or controversial.
- The ability to liaise with faculty researchers, external
collaborators, and funding agency program officers.
- The ability to build rapport with faculty and staff that may
have limited experience with grant writing opportunities, processes
and protocols.
- The ability to organize and prioritize multiple work
assignments, meet deadlines, and exercise adaptability to multiple
and changing priorities.
