Position Summary:

The Administrative Assistant and Communications Specialist will:
  • Provide administrative, communication, and human resource clerical support to the Department of Dining Services.
  • Serve as the initial public contact for Ithaca College Dining Services operations for the campus and community.
  • Provide structural and organizational support for all human resource activities, including recruiting, hiring, and onboarding new student workers and staff members.
  • Provide marketing support to Dining Services, including social media channels, creating sales materials for meal plans and other programs, and developing messaging strategies for campus residence and retail operations.
Supervision:

This position reports to the Associate Director of Dining Services and receives additional day-to-day direction from other Directors and Assistant Directors.

Job Responsibilities:
  • Provide administrative support to the Dining Services Senior Leadership Team.
  • Represent front-line contact for Dining Services phone calls and e-mail accounts.
  • Serve as liaison and point of contact with off-campus individuals, external agencies, business partners, and vendors.
  • Provide structural and organizational support for all human resource activities, including recruiting, hiring, and onboarding new student workers and staff members.
  • Prepare or compose letters, reports, statements, and other documents under general instructions from the supervisor.
  • Perform administrative duties such as assisting with budgets and financial reporting.
  • Maintain administrative records and relieve the department of administrative details.
  • Inspect the Dining Services website content regularly for accuracy of information and assist in making necessary edits.
  • Assist in the creation, scheduling, organization, and implementation of Dining Services-hosted events on campus.
  • Assist the campus retail department with consistency, uniformity, and on-screen visual appeal of all GrubHub outlets and menu items.
  • Assist with the input and accuracy of data for menu management systems like NetMenu and NetNutrition.
  • Assist with and identify, confirm, process, and mail all vendor rebates.
  • Assist in the recruiting, hiring, onboarding, and training of Dining Services student workers and student intern administration team.
  • Assist the Marketing department and student marketing interns with all Dining Services social media accounts.
  • Assist in creating and implementing marketing and communications plans for various Dining Services units and projects, including print, wide format, social media, and electronic communications.
  • Participate in special projects as assigned and assume other office support staff duties or as directed.
  • Ensure confidentiality and security of office facilities, equipment, and records.
  • Perform other duties as assigned.
Required Qualifications:
  • A high school diploma and a minimum of 3 years of previous office experience.
  • Excellent interpersonal, organizational, and written and verbal communication skills.
  • Ability to provide excellent customer service while working effectively and respectfully within a diverse and inclusive environment.  
  • Ability to work independently and in a team environment, basic record-keeping abilities, and strong attention to detail.
  • Experience creating, editing, maintaining, and implementing professional communication strategies for an organization.
  • Experience managing organization websites and/or social media accounts.
  • Previous customer service experience and food and beverage industry experience.
Work Environment:

The work of the incumbent is carried out within an accessible, safe, indoor environment. The incumbent may be required to lift and carry 50lbs., will be issued and required to wear slip-resistant shoes, and may be required to work overtime, nights, and weekends as needed.
