The University Administration Business Office is seeking aBusiness Operations Coordinator who will be responsible for a range of high-level administrative and financial duties in both the Office of the President and University Administration Business Office, splitting their effort 50/50 between both offices.

For the Office of the President, the ideal candidate will be preparing and processing travel expenses for the president and other office staff, monitoring and processing expenses for the office, managing contractor agreements, and supporting staff with various travel reimbursements. For University Administration Business Office, the ideal candidate will be supporting the UA Business office and UA departments. The support will include travel review and approval, processing HR transactions, processing financial transactions and ensuring compliance with JHU policies and procedures. This is a visible role in a fast-paced work environment, and work assignments involve considerable judgment, tact, creativity, initiative and confidentiality. This role will spend time at the Homewood Campus, Keswick and remote work.

Specific Duties & Responsibilities:

President’s Office Responsibilities:

  • Prepare expenses in Concur for the President, organizing receipts, inputting into the system, and tracking through the approval process all the way through to Board Chair
  • Input and track office staff travel reimbursements into Concur
  • Process invoices in SAP
  • Initiate and manage all contracts for the President’s Office
  • Process all Procurement and Travel cards for the Office of the President ensuring accuracy and timeliness
  • Process honorariums and reimbursements from inception to final payment
  • Perform other duties as assigned

University Administration Business Office Responsibilities:

  • Work with University Administration (UA) departments to ensure compliance with JHU policies and deadlines
  • Interpret UA requirements and communicate to UA departments and University divisions
  • Oversee and review executive travel and business expense reports
  • Submit and/or approve ISR’s to support hiring, termination, transfer, salary change, etc. of UA personnel
  • Processe student hours, overtime hours, bonus supplements for UA departments
  • Execute and completes special projects and information requests for UA
  • Maintain in-depth knowledge of University policies and procedures surrounding Account Payable transactions
  • Provide SAP knowledge and expertise to UA employees
  • Serves as the SAP “expert” within UA by conducting training sessions, as needed

Minimum Qualifications (Mandatory):

  • High School diploma or GED
  • Five years of related experience in a professional environment
  • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula
    • JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
  • Sense of confidentiality
  • Ability to manage multiple tasks with competing priorities

Preferred Qualifications:

  • Bachelor's Degree or equivalent work experience
  • Previous experience with bookkeeping, Concur or SAP strongly preferred

Special Knowledge, Skills, or Abilities:

  • Strong communication abilities, including verbal, written and interpersonal skills
  • Strong organizational, detail- oriented and customer-service skills
  • Ability to work independently and on a team; to take initiative and be flexible
  • Proficiency withOutlook,Word and Excel
  • Experience with SAP and Concur

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
