Job Description



PURPOSE AND SCOPE:

The Specialist III, Student Records supports other staff by performing task oriented duties while providing clerical, analytical, administrative, and/or operational support under general supervision. Responsible for the collection, analysis, entry, and reporting of student data. Ensures adherence to state guidelines and compliance with deadlines. Work hours are split between LSC-Houston North Greenspoint, LSC-University Center @ Montgomery and all other LSC campuses and off-site community partner locations where AEL classes are offered.

This is a temporary, grant-funded position. Continuation of the position from one academic year to the next is dependent upon continued grant funding. Professional Development for TWC, HGAC and LSCS is required by the deadline.



ESSENTIAL JOB FUNCTIONS:

  1. Works with instructors when data is incomplete or inaccurate to ensure all studentdemographic data, personal profile, assessment, progress, outcome and achievement, attendance andcontact hour information is reported appropriately
  2. Serves as a resource and subject matter expert to Adult Education & Literacy Grant faculty, staff and administrators on topics relating to student records
  3. Receives data, checks for accuracy and completion, and prepares data for entry insystem. Makes necessary corrections to student records (e.g. TANF verification, enrollment forms, etc.)
  4. Processes, scans, indexes, and prints student information (both electronic and hard-copy) and other grant related documents
  5. Processes student information according to state guidelines ina timely manner
  6. Develops, implements and maintains procedures for the accurate and timely tracking of student dataas required by the TWC, HGAC and the AEL Grantparameters as needed
  7. Keeps informed of ongoing changes and developments in the system as they pertain todata entry, reporting requirements, and systemcapabilities
  8. Provides performance measure status and Measurable Skills Gain reports to the Director and other staff members ona weeklybasis
  9. Performs a variety of research and auditing functions to ensure and maintain data integrity; works with AEL faculty & staff to troubleshoot and resolve any discrepancies
  10. Assists with basic grant reporting requirements, following Federal and State guidelines regardingrecord keeping.
  11. Builds CE courses and updates class information including appropriate grant funding codes in TWC TEAMS database and aligns information with LSC reports.
  12. Responsible for other reasonable, related duties as assigned.

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.



WORK SCHEDULE AND CONDITIONS:
  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards


REQUIRED QUALIFICATIONS:
  • High School Diploma and at least 3 years of related work experience, or an equivalent combination of education and experience


PREFERRED QUALIFICATIONS:
  • Associate’s degree
Salary

Hiring salary range is $32,250 - $37,087.50

Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education. Should you receive an offer of employment from Lone Star College, the resume submitted in the application process will be utilized to calculate your salary offer.
