Primary Duties and Responsibilities:

Job Title: Campus Visit Coordinator

Department: Office of Admissions

Reports to: Senior Director of Undergraduate Admissions

Status: Full-Time, Benefit Eligible

Location: Lisle Campus

Position Summary: This position will be responsible for planning and executing campus visit programs for prospective students and their families by serving as the point of contact for visitors for personalized visits and larger events hosted through the Office of Admissions. Responsibilities include building personalized visit agendas, collaborating with Admissions Counselors to coordinate all admissions events from preview days, open houses, admitted student days, and SOAR events. The Coordinator serves as the primary supervisor for the Student Ambassador student staff and tour guides. In addition, serve as the office manager in certain administrative capacities under the direction of the Director related to purchasing, inventory management, front desk and phone management, outgoing mailings and data entry.

Essential Job Responsibilities:

1. Management of front desk and daily office operations. Welcoming all guests to the admissions area and showcasing the Benedictine hospitality. Manage all incoming phone calls and direct to appropriate staff of faculty member. Manage all drop in visits and inquiries. Manage admissions email inbox and incoming mail. Also coordinate with Director of Admissions to manage all outgoing mailings to ensure target benchmarking dates.

2. Planning and executing visit programs. Respond to and plan all incoming daily visit inquiries which revolve around a highly-customized campus experience in addition to all enrollment events (open houses, admitted student days, preview days, etc.). Outreach and scheduling appropriate staff and room locations based upon daily visit type and event needs. Ensure proper tour guides and student ambassador coverage and backfill if necessary.

3. Responsible for selection, training and management of student leaders (student callers, daily student tour guides and student ambassadors) to support recruitment and orientation events. Schedule and monitor ambassador workloads to ensure proper office and tour coverage. Conduct training, evaluations, implement expectations & guidelines and enforce set policies to ensure proper management of student staff.

Other Functions:

1. Collaborate with marketing team to support recruitment events. Create email communications to prospective students to assist with event awareness.

2. Collaborate with key university personnel regularly to ensure all enrollment events are properly preplanned and executed.

3. Assist with database projects when needed through Salesforce (CRM) including event attendance lists.

4. Other duties as assigned by supervisor.

Required Qualifications:



Education: Bachelor's Degree Required

Experience: A minimum of 2 years work experience in higher education or event planning

Specific Skills: Proficient in written and oral communication and delivering presentations;; work independently; maintain confidentiality; demonstrate a high level of professionalism; multi-task with numerous areas of responsibility; ability to work collaboratively; ability to proactively identify and react to problems; work in a team environment; ability to resolve conflicting committments; effective time management and organization skills. Proficient in technology used and supported by Benedictine.

Specific Knowledge, Licenses, Certifications: Yes. Candidate must be goal oriented. Must be personable, outgoing, and professional in demeanor. Must be an excellent communicator (both oral and written) and possess excellent public speaking skills. Must work collegially with university faculty and staff across Benedictine University.

Physical Requirements: While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to touch, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Use of computer screen, phone and customer service. May require bending, or sitting for long periods of time. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Per Gov. Pritzker’s Executive Order proof of vaccination or weekly COVID-19 testing is required.

Working Conditions: Office environment, evening & weekend hours to support events
