Posting Number: 0600963-NC Position Type: Classified Position Title: Project Management Coordinator Division/Department: Extended Learning Location Albany Campus, Albany, OR Job Summary:
Responsible for leading various department and program-related projects, from onset to completion, ensuring projects are delivered on time, within budget, and scope. Oversee all aspects of assigned projects: setting deadlines, assigning responsibilities, coordinating team action items, monitoring and summarizing progress of the project, providing updates to team and management, iterating as needed. Required Qualifications:
Education and Experience: Position requires an Associate’s Degree or a high school diploma plus a minimum of two years’ full-time experience in a related field.

Knowledge and Skills: Requires knowledge of general office practices, procedures, office technology and computer use. Also requires proficiency with computers, Excel Spreadsheet and Word software, attention to detail and accuracy of data entry and proofreading. Requires excellent communication skills, verbally and in writing. Ability to take initiative, problem solve, meet timelines, track and complete projects efficiently and effectively. Prefer customer service experience, working with diverse populations over the phone, via email, and in person. Prefer knowledge and understanding of community education, recreation, corporate training, driver education, special events or related program development. Prefer knowledge of social media, Google applications (G-suite), and online registrations systems.

Requires the ability to perform all of the duties of the position efficiently and effectively. Must be able to operate equipment of the position in a safe manner. Must be able to perform duties in a safe manner. Must be able to prioritize and coordinate work to meet tight schedules and timelines. Must be flexible with changing deadlines and goals. Must be able to communicate with a wide range of contacts in a manner that generates good public relations and reflects positively on the department and college. Must be able to work respectfully with individuals of all cultures, backgrounds, perspectives, and abilities. Preferred Qualifications: Physical Requirements and Working Conditions:
Position involves periods of extended standing plus light to medium work including stooping, kneeling, and carrying and lifting of light to medium weight materials, with or without an accommodation.

Work is normally performed in an office setting with little or no exposure to health and safety hazards. Substantial time is spent working at a computer. Schedule requires working some evenings with variation during breaks between terms and peak times. May require some early/late hours and some Saturdays. Requires travel between LBCC Benton Center and other locations within Linn and Benton counties. Must provide their own transportation. Essential Duties:
  1. Lead various projects throughout the department, including, yet not limited to: Customer Relationship Management and Project Management Implementation, Program and Department Level Visualizations, Online Registration Initiative, and other projects at the program and department level as they are assigned by the Director, Extended Learning.
  2. Work closely with the Director to set up and define project scope, including: impetus for project and overall desired result, strategy, team members involved, possible critical actions and due dates, overall timeline, budget, and team communication.
  3. Create staff action items and due dates for each project.
  4. Meet with team members as needed to deepen understanding of their area of responsibility and how it relates to the project, incorporate their expertise and questions into the project process, answer any questions, resolve issues, and keep the project moving forward.
  5. Support team members by providing direction and additional information (research, data, project details, etc.) so they can complete their project action items on time.
  6. Coordinate with the Director to communicate project implementation status with the team.
  7. Create Gantt chart visualizations for each project as needed.
  8. Coordinate overall project timeline, ensuring action items are in process, due dates are being met or updated accordingly, and Gantt charts remain updated with pertinent information.
  9. Lead research within the team to discover best practices, learn more about existing tools and processes, as well as ‘wish lists’ of best-case scenarios of improved efficiencies.
  10. Lead research on best practices in both the private and public sectors in regard to each project. Lead communication with outside agencies and partners, including, yet not limited to: local private businesses, other Community Colleges and Universities across the State and Country, and local public sector nonprofits, as needed.
  11. Lead communication and act as the department liaison with outside agencies as it relates to project management, development, implementation, evaluation, and potential ongoing administration.
  12. Develop evaluation processes and templates for feedback from each program and the department on the efficiency and effectiveness of any project in its implementation phase.
  13. Lead communication with the Director about all projects, including: project sustainability, team involvement, beta testing, next steps, and communication with the department, College, and other internal and external stakeholders, as needed.
  14. Prepare reports for the Director regarding projects, as needed and requested.
  15. Coordinate conversations with internal program and department staff and stakeholders about the project’s completion rate in regard to implementation, and evaluation.
  16. Develop systems for tracking, housing, and storing project evaluation data, including communicating with the Director about the internal and external stakeholder feedback.
