Job Description:

APPOINTMENT: September 1, 2021

RESPONSIBILITIES:

Key responsibilities for the Registrar include, but are not limited to:

  • Maintain and certify student records, provide academic transcripts and grade reports as required.
  • Responsible for student registration procedures and services for enrolling students in academic courses.
  • Responsible for schedule development and implementation, online registration systems, maintenance and storage of academic records, and related enrollment services.
  • Responsible for instructional room scheduling and assignment of all classroom facilities.
  • Oversee transfer credit and readmission processes.
  • Responsible for tracking student progress, communicating academic status, coordinating preparation of graduation process and audits prior to degree conferral and graduation deficiencies.
  • Responsible for systems used to collect and disseminate grades.
  • Act as chief compliance officer for the Family Education Rights and Privacy Act (FERPA).
  • Act as consultant to university committees and administrators regarding the development and implementation of university policies and procedures in reference to student records and registration, class schedules, instructional space scheduling and graduation requirements.
  • Responsible for the University academic calendar, including final examination schedules.
  • Interpret and enforce academic policies and provides guidance and oversight to maintain the professional integrity of the office.
  • Review, determine, and prepare athletic eligibility and certification as prescribed by the NCAA.
  • Direct daily operations in the Registrar's office and supervises staff.
  • Oversight of budget, technology and planning for the Registrar's office.
  • Coordinate University commencement ceremonies

    Requirements:

    REQUIRED QUALIFICATIONS:

    1. A master's degree from an accredited college or university.

    2. Prior experience in an institution of higher education registrar's office, or related experience.

    3. Progressive experience in a student services field.

    4. Excellent analytical, written, verbal and interpersonal communication skills, as well as organizational skills.

    5. Experience with student information systems, including development of reports, plans, budgets, and regulations related to student records.

    6. Demonstrated experience managing complex operations and systems.

    7. Experience in strategic leadership supporting the creation and implementation of academic policies and procedures that foster student success.

    8. Strong working knowledge of federal and state laws, in particular FERPA and mandates pertaining to enrollment, student records, and institutional compliance.

    PREFERRED QUALIFICATIONS:

    1. Master's degree in business, higher education administration, student services, or related fields.

    2. Terminal degree.

    3. Three or more years of managerial experience with student information systems, development of reports, plans, budgets, and regulations related to student records.

    4. Familiarity with and commitment to the American Association of Collegiate Registrars and Admissions Officers (AACRAO) best practices and standards.

    For a degree to be considered, it must be conferred from a regionally accredited degree-granting institution of higher education (or equivalent from an international accrediting body). Unless otherwise stated, the degree must be completed at the time of application.

WIU's traditional residential campus in Macomb, Illinois, is the educational, cultural and athletic center of the region, while the WIU-Quad Cities non-residential branch campus in Moline, Illinois, is the only public university in the immediate Quad Cities region.

    Western is a comprehensive university offering 62 undergraduate and 41 graduate degree programs, which includes an Ed.D. in educational leadership and a Ph.D. in environmental science. The University's 442 full-time faculty members teach 94 percent of all undergraduate and graduate courses.

    WIU-Macomb, IL: A traditional, residential four-year campus with distinctive undergraduate degrees and numerous graduate programs, including a doctorate in education, WIU-Macomb is located in the heart of west central Illinois in Macomb (population 20,000). Macomb is an Amtrak city with twice-daily service to Chicago.

    WIU-Quad Cities: The only public university in the Quad Cities area, WIU-QC offers select undergraduate and graduate programs, including a doctorate in education and a doctorate in environmental studies, at its non-residential campus in Moline, IL (population 44,000).

    WIU's Macomb campus is the educational, cultural and athletic center of the region. Annually, 12 major theatrical and dance productions and studio shows are performed, along with outstanding concerts, lectures, presentations, films, dance performances and more. The Gwendolyn Brooks and Casa Latina cultural centers offer programs and activities focusing on Black and Hispanic cultures, while the Women's Center promotes gender equity through education, support and advocacy. WIU's student organization for the lesbian, gay, bisexual, transgender, queer/questioning and ally (LGBTQ*A) community provides resources, support and programming. These cultural and resource centers promote WIU's goal of enhancing diversity, equity, and inclusion through educational programming and advocacy.

    The University's athletics program, based on the Macomb campus, sponsors 17 NCAA Division I intercollegiate men's and women's varsity sports. Football competes in the NCAA Division I Football Championship Subdivision through the Missouri Valley Football Conference; all other varsity sports compete at the Division I level through The Summit League.
