As a part of UA, the Operations Manager manages processes and documentation for the support of travel, financial, and other operational activities of UA staff and the division. This includes division travel and expense, operating budget, facilities issues, recruitment, onboarding, and training.

Complex and overlapping projects/tasks require managing the workflow for timeliness, consistency, and accuracy while creating a work environment that promotes collaboration and a commitment to high quality service to both internal and external constituents.

This position reports to the Director, University Advancement Operations.

Position Responsibilities:

Advancement Operations:
  • Leads planning, operation, and problem-solving toward the goal of providing excellent support services.
    • Financial and operational activities of UA staff that includes coordinating pre and post travel, monitoring financial activities and reports related to expense reimbursement for UA staff while utilizing Bucknell's electronic reporting tool.
    • Implementing and maintaining procedures for consistency in processing and budgeting while ensuring that the Bucknell Travel and Expense Policy and other policies and guidelines are followed.
    • Managing other processes and support for UA including supply ordering, inventory of leave-behind materials, facilities requests, and office key management
    • Works productively with the Coordinator, Advancement Operations and the Director to ensure quality control including effective communication, processes, and documentation.

Budget Support for UA:
  • Manages operational projects/functions directly and indirectly for successful outcomes in relation to:
    • UA operating budget review and requests, and provides support to UA budget managers to help with reports, analysis and problem resolution
    • Becomes proficient with the use of Bucknell's budget and financial systems and provides report training to UA budget managers
    • Monitors UA budget reports for quality control and handles corrections or adjustments needed
    • Completes financial reconciliations for specific funds on a recurring basis
    • Participates in appropriate training/education to become aware of financial considerations impacting Advancement operations and makes recommendations for process changes as appropriate

Project Management:
  • Provides project management support for UA Talent Management including recruiting, onboarding and training. Also coordinates planning and scheduling for UA staff events or training events helping to ensure a quality experience.
    • Creates and maintains training/reference materials for onboarding new staff and training existing staff
    • Maintains an updated list of all vendors, technology tools, and subscriptions for UA to include contracts, terms, budget/cost for budget and strategic review
    • Collaborating with the Associate Vice President of University Advancement, Strategic Philanthropy, provides planning and process support for UA supported travel with campus partners/university leaders

Performs other duties as assigned.

Minimum Qualifications:
  • Bachelor's degree in a finance related field and two (2) years of experience as an office operations manager OR an equivalent combination of finance-related education and experience in office operations
  • Two or more years' experience in finance-related operations/budget management
  • Demonstrates understanding of accounting principles
  • Demonstrates strong project management skills
  • Demonstrates experience in a team environment and collaborating across constituencies
  • Proficiency with the use of the Microsoft Office Suite and Google Suite
  • Experience with database usage and reporting

Other Requirements:

This position requires occasional evening and weekend work to support UA's events including blocks of time for major events such as Family Weekend, Reunion, and Homecoming, and other event support as required. Staff should mark their calendars for major events and events in their department. Exceptions require supervisory approval.

Exempt employees are required to work as much time as is necessary to fulfill the requirements of the position without additional compensation, even if the work is performed beyond standard work hours.

Preferred Qualifications:
  • Prior experience in a higher-education fundraising or finance office
