Position Information

This is a full-time, permanent (probationary) position.

Satisfactory completion of a background check (including a criminal records check) is required for employment. The salary range for this classification is: minimum $3,609 - maximum $5,079 monthly.

Major Duties

Under the general supervision of the Associate Dean, the Program Admissions Evaluator will evaluate and process incoming COE (GED and TED) post baccalaureate and graduate applications and Student Teaching applications for undergraduate LBS Integrated Option students. The Program Admissions Evaluator maintains and updates a database for each program and determines eligibility by verifying various requirements such as exams, transcripts, degree posted, course and GPA requirements, etc. The position is also responsible for scanning supporting documentation and maintaining electronic files for each candidate and provides applicant status updates and notifications.

Qualifications

Required Education and Experience: Equivalent to completion of a formal training program in academic records evaluation OR one year of academic records evaluation experience OR any 12-month combination of training and experience related to academic records evaluation.

Preferred Qualifications:

Have expertise in using office software package, technology and systems. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the work area. Ability to effectively handle interpersonal interactions at all levels and has the ability to handle highly sensitive interpersonal situations. The incumbent must have the ability to independently handle multiple work unit priorities and projects and have thorough knowledge of applicable COE and university infrastructure, policies and procedures.

Required Knowledge, Skills, and Abilities:
Knowledge of the format and interpretation of course records and transcripts of institutions of higher education; knowledge of authenticating course credits and comparing records of differing formats, such as foreign records; knowledge of campus curriculum requirements for majors, minors, terminal degrees, and special program designations, and knowledge of application of campus resource guidelines for making determinations using various criteria.

Ability to be thorough, consistent and accurate in the interpretation of records against criteria; ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process; ability to maintain resources which document and update criteria; ability to explain criteria and evaluations to others; ability to make accurate records; ability to organize work to meet deadlines; ability to safeguard the confidentiality and security of records.

Remain knowledgeable on current university policies and procedures (e.g., course substitution, petitions, grade appeal), deadlines (e.g., registration, enrollment, applications), curriculum, and class schedule for stateside coursework

The position may require the use of the following equipment, machinery, tools, vehicles or office equipment:
PCs, printer, copier, fax machine, multi-line telephone, and calculator

Responsibilities

50% - Student Evaluation and Eligibility

Evaluate and process all incoming COE (GED and TED) post Baccalaureate and graduate applications and Student Teaching applications for undergraduate Liberal Studies Integrated Option students.

Determine eligibility by verifying exams, letters of recommendation, TB clearance, US Constitution, transcripts, degree posted, character clearance and identification, GPA requirement, and courses and university admission status.

Review applications for completeness, enter applicant information into the database for each applicant accepted into the programs.

Interpret university and program policies for students, faculty, and staff.

Scan supporting documents and maintain a current electronic file for each candidate.

Evaluate and process SPE Early Fieldwork applications. Process applications and determine eligibility for advancement of continuing SPE Single and Multiple Subject candidates for student teaching fieldwork.

25% - Applicant Status Updates and Notifications

Keep applicants updated on their status and informed on materials needed to complete the admission process.

Process materials for students who are adding/changing their current academic objective. Provide information about registration process and electronic resources (i.e. mycsudh.edu; Blackboard).

Update and/or populate data on PeopleSoft.

Prepare letters that reflect a candidate's intern eligibility to prospective employers.

Create and/or update program applications and forms as required and in response to program and state credential requirements.

Notify Admissions Office via OnBase or Graduate Studies Office via Change of Objective on student admission decision.

Provide information to local school districts regarding CSUDH student program status.

Prepare correspondence and handle queries via phone and email.

10% - Faculty and Program Coordinator Support

Provide assistance and support to faculty and program coordinators.

Prepare and update student files and documentation to be forwarded to coordinators as needed.

Provide information and assistance to faculty, staff, students and other interested parties by interpreting program admission requirements and processes.

Attend COE cabinet meetings and LBS office meetings as needed.

5% - Perform other duties as assigned or required.
