Job Summary:

Recreation & Wellbeing at the University of Wisconsin-Madison is seeking a dynamic, energetic, goal-oriented, and innovative leader within the field of higher education and collegiate recreation. The Assistant Director of Scheduling and Events is a full-time employee under the direct supervision of the Associate Director of Operations. This person is directly responsible for the facility scheduling, contracting, and event management of four (4) indoor facilities (Nicholas Recreation Center, Camp Randall Sports Center, Nielsen Tennis Stadium, and Bakke Recreation and Wellbeing Center opening in 2023) along with four (4) outdoor spaces. They will supervise (2) full-time Coordinators of Scheduling and Events and indirectly oversee the hiring, training, and development of approximately 20 student employees. They are responsible for the creation and oversight of the scheduling and events budget. This individual works directly with professional and student staff to plan and coordinate activities and assess problems and develop solutions. Primary hours will be Monday-Friday 8:00 - 4:30, but flexibility to work nights and/or weekends when needed is required.

Education:

Master's Degree in recreation, sports administration, higher education, or related field is preferred.

Bachelor's Degree is required.

Qualifications:

A minimum of two (2) years full time professional experience in an event management setting is required, three (3) years preferred. If applicable, Graduate Assistantships are equivalent to one-year professional experience. Demonstrated leadership, customer service, communication, and problem-solving skills are required.

Additional Information:

Primary Responsibilities:
> Provide leadership for facility scheduling, events, rentals and record-keeping throughout all recreational facilities and spaces, including the Nicholas Recreation Center, Camp Randall Sports Center, Nielsen Tennis Stadium and Bakke Recreation & Wellbeing Center (opening 2023) and four (4) outdoor spaces. This includes Rec Well programming, open recreation, Kinesiology classes, Athletics practices and competitions, and internal/external events.
> Responsible for the supervision, motivation, mentorship, evaluation, and coordinate job assignments of two (2) full-time Coordinators of Scheduling and Events.
> Indirectly oversee the recruitment, hiring, training, supervision, and evaluation of approximately 20 student employees.
> Develop and assess the budget for Scheduling and Events, including recommending changes to pricing structures and rates.
> Coordinate with Rec Well departments on event needs such as custodial, access control, operations, and others. Conduct bi-weekly meetings on upcoming events with key departmental personnel.
> Meet with all Rec Well departments annually to determine priority and block schedules to be used for scheduling Rec Well programming.
> Establish and implement short and long-range goals, strategic initiatives, policies, operating procedures, and assessments relating to events operations.
> Work with campus legal affairs and risk management staff to assess and address risks associated with events in Rec Well facilities and spaces.
> Track and analyze event participation numbers, revenue statistics, expenditures, and submit final numbers for the Rec Well Annual Report.
> Develop and maintain strong relationships with the Department of Kinesiology, ROTC, and Intercollegiate Athletics. Work with the Associate Director of Operations to review and update space usage memorandum of understandings (MOU?s).
> Follow up with participants and staff members on post-event comments and concerns.
> Maintain database of former and potential clients within and outside of the University.
> Explore joint sponsorship of events and programs across campus.
> Oversee the planning of large-scale departmental and collaborative special events.
> Research, purchase and maintain inventory of event equipment.

Secondary Responsibilities:
> Develop strong working relationships with campus partners such as UWPD, University Health Services, Risk Management, Office of Legal Affairs, Transportation Services, EH&S, FP&M, and Center for Leadership & Involvement
> Rec Well administrator for EMS, space management and room scheduling software. Serve as Rec Well contact with Department of Information Technology on MOU pertaining to software. Administrator for Social Tables, event diagramming software.
> Represent Rec Well on the Campus Facility Use Committee
> Perform other duties as assigned by the Associate Director of Operations

Ancillary Responsibilities:
> Attend Divisional Staff meetings, retreats, and trainings
> Attend state, regional, and national conferences to keep abreast of current trends and issues.
> Pursue and maintain all necessary certifications related to job responsibilities (American Red Cross CPR/FA/AED)
> Serve on department, division, or university committees as requested.
> On a routine basis, exercise flexibility to work evening or weekend hours.
