Summary/Objective

This position assists the Facilities & Operations Manager in supervising all activities associated with ticket office operations, internal and external rental requests, guided tours and general marketing management. Teaches and trains students in the areas of event ticketing, customer service and general office maintenance. This position requires minimal supervision and a high level of self-direction and student employee management.

Essential Functions
  1. Ticket Office Management: Under the direct supervision of the Katzen Facilities & Operations Manager, this position coordinates all patron services operations within the Katzen Ticket Office. This includes the hiring, training and staffing of ticket office employees, event ushers, event assistants and other patron related staff as needed. Additionally, personally managing events for internal and external renters based upon need. The Patron Services and Events Coordinator is the primary contact point for University Tickets and is responsible for entering, updating and managing ticketed events on-line according to the CAS ticketing policy for the Katzen Arts Center, Greenberg Theater, and American University Museum. Furthermore, this position works closely with the vendor in order to solve problems and issues that might arise with the software. The Patron Services and Events Coordinator evaluates and updates the Patron Services handbook as needed and maintains a highly efficient working environment.
  2. Events Management: The Patron Services and Events Coordinator is the initial contact for all internal and external renters interested in the Katzen Arts Center. In conjunction with the Katzen Facilities & Operations Manager, the position screens potential renters and provides basic rental information and tours to interested clients. The position maintains a rental spreadsheet that illustrates past, present and future interest in the Katzen Arts Center. First point of contact for all events within the Katzen Arts Center. Works closely with all chairs, administrators, directors, and other College of Arts and Sciences personnel; as well as all other Units within the American University.
  3. Finance: This position maintains accurate fiscal records of all ticket office receipts, executes deposit forms according to policy, and provides weekly updates regarding attendance and sales as well as ensuring that all patron related fiscal issues are resolved appropriately and timely. Runs monthly reports and initiates transfers to accurately route ticketing revenue between the Katzen Arts Center, Greenberg Theater, and American University Museum.
  4. Tour Coordinator: The Patron Services and Events Coordinator schedules all tours of the Katzen Arts Center and works closely with other university offices in order to provide regular and VIP tours. This position maintains the literature racks and display units located throughout the building and interacts with CAS/university marketing on behalf of the center
  5. Other duties as assigned by the Katzen Facilities & Operations Manager.

Required Education and Experience
  • 2-4 Years of supervisory experience in a university setting required.
  • Bachelor's Degree in Hospitality Management
