Primary Duties
Working independently under general direction, incumbent will serve as the aide to the Department Chair, but will also work independently to provide essential front-line administrative support to a large academic department on the CSU, Chico campus; provide continuity and stability to the central department office; oversight of daily operation; handle all confidential personnel matters; schedule courses; oversee faculty workload; process curriculum changes; oversee and reconcile all aspects of the department budgets. Other duties include administrative, faculty and student support, advisory board and student organization support and public contact.

KNOWLEDGE :
Incumbent must possess:
  • Mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages (e.g. Microsoft Word, Excel, and Outlook), technology and systems.
  • Comprehensive and detailed knowledge of the University infrastructure, policies, and procedures.
  • Thorough knowledge of office systems, methods, procedures and practices.
  • Fluency in using standard office equipment (computers, copiers, phones).
  • Working knowledge of campus budget policies and procedures.
  • Experience with PeopleSoft and Insight report generation, or similar type.




SKILLS :

Incumbent must possess:
  • Active problem solving and effective interpersonal skills as work often involves front line contacts with a variety of campus and community individuals.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Typing and keyboarding skills.

Required Education and/or Experience
This position requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. These qualifications, and those listed above, would normally be obtained through completion of a high school program, technical/vocational program, or their equivalents combined with four years of related office work experience. Preference may be given to applicants with the following as they may be considered specialized skills:
  • Two years prior office management experience; experience with accounting, database, desktop publishing and scheduling software
  • Five years recent, full-time equivalent, progressively responsible clerical experience in a highly interactive office environment requiring a high level of accuracy and attention to detail.
  • One year of experience working with budgets and spreadsheets.
  • Experience planning events in a work environment.
Special Requirements

PHYSICAL REQUIREMENTS :
This position alternates between remaining in a stationary position operating a personal computer for long periods of time and frequently moving about inside the office. Must be able to travel across campus to other offices and buildings on and off campus for meetings and events. May work alternate hours to accommodate department and/or College needs/functions/after hour meetings and special events.
WORK ENVIRONMENT :
Work is performed in a typical busy college office environment, operating standard office equipment. Occasional participation at events/meetings that may be held in other on-campus buildings/locations. Benefits

Eligibility for standard CSU benefits is based on an appointment of half-time or more for a period exceeding six months. Employees appointed less than half-time or less than six months are not eligible for standard CSU benefits but do receive prorated sick leave and vacation.

Eligibility for Affordable Care Act ( ACA ) benefits is based on an appointment of at least three-quarter time, hired to work a minimum of 130 hours per month over the course of the appointment or works an average of 130 hours or more per month during the measurement period.
