Description
- Supporting the Provost's Office by:
- Serving as first contact to the Provost for questions, requests for information, and concerns of faculty, staff, and students
- Overseeing and coordinating commencement and convocation activities
- Organizing workflow and developing/overseeing filing systems (paper and digital)
- Assisting in managing Provost's budgets
- Arranging the Provost's calendar, schedules meetings and appointments as requested, completes meeting follow-up tasks, and provides organizational management of the Provost's and Office of Academic Affairs email accounts
- Providing administrative support for Academic Affairs Director-level searches
- Assists in staffing the Academic and Student Affairs committee of the Board, creating minutes, using the BoardEffect app, and other matters related to the Board as necessary
- Composing general correspondence, memos, credit card statements and reports as requested
- Compiling and distributing Dean's List and Delta Sigma Nu letters
- Partnering with the President's office on board-related and other relevant projects
- Supporting faculty processes by:
- Issuing all full-time faculty contracting correspondence; ensuring the renewal, recommendation, and annual faculty evaluation processes are completed in compliance with governance
- Compiling Annual Faculty Evaluation data from deans to report to HR
- Collecting and maintaining faculty CVs in alignment with HLC standards
- Supporting award nomination processes including Allhiser, Richason, Advising, and Exemplary Service awards
- Providing administrative support to faculty governance committees, including:
- Promotion and tenure committees
- Student/Faculty Ethics Committee, General and Cross Cultural Education Committee and the Academic Steering Committee, including documentation and tracking of new program development
- Reserving meeting spaces for all committees as requested and orders catering for monthly faculty meetings.
- Performs other duties as assigned
Qualifications:
Education and/or Experience:
- 3-5 years' administrative experience, preferably in higher education, required
- Bachelors' degree required
Technology Skills:
- Facility with typical desktop computer software programs, including Excel, required
- Proficiency in online environments required, ability to learn the University's administrative computing software, reporting tools, course management system as relevant, scheduling software, etc.
Human Relation Skills:
- Professional demeanor and strong interactive skills
- Outstanding organizational skills
- Sound judgment and discretion
- Ability to maintain confidentiality
- Excellent problem-solving and analytic abilities
- Independence, creativity, and proactivity are essential
- Excellent written and oral communication skills
