Job Description

Position Summary:

The Assistant Director provides over all leadership for the Custodial and Landscape and Outdoor Services (LOS) departments. They also serve as a key staff advisor and subject matter expert to senior executives on custodial, landscape and outdoor services matters.

The successful candidate will have considerable experience in a university or large corporate campus operations, management, budgetary skills, and experience should demonstrate a track record of leadership qualities. The Assistant Director is responsible for providing comprehensive oversight of all custodial and LOS services. The Custodial Department is responsible for cleaning over 4 million square feet, maintaining a safe environment, and providing quality customer service. The Landscape and Outdoor Services department has responsibility for over 400 acres of landscaped and natural areas encompassing athletic fields, open lawn/event areas, parking lots, 28 miles of sidewalks and 11 miles of roadways, academic/office buildings, and residential life and landscape areas, and respect for natural forest and open campus areas.

This role is responsible for the leadership and guidance of the staff responsible for campus cleanliness and appearance. This position requires an in-depth understanding and knowledge of best practices, processes, effort, tools, materials, and equipment essential for the staff to perform the department duties. This role provides management and guidance, routinely acting as a liaison with the campus community, including but not limited to administrative leadership, campus customers, and the Facility Services department and its team.

Job Functions and Duties:

Leadership and Strategic Planning (50%)

  • Oversight responsibility for managing the staff of Custodial and LOS departments, including day-to-day guidance of employees who maintain the cleanliness of the campus buildings and grounds
  • Hold staff accountable to expectations and performance
  • Fosters a collaborative team environment that encourages creative problem solving and process improvement
  • Responsible for setting a positive and supportive culture and maintaining a high work ethic and standard of customer service
  • Direct, lead, motivate, influence, departmental staff towards accomplishing its mission and goals as a service-oriented team
  • Executes strategic plan in alignment with the scope of service
  • Provides team leadership and direction by ensuring cohesiveness among the activities of subordinates to achieve planned outcomes
  • Effectively able to make informed decisions and delegate tasks and responsibilities to subordinate staff
  • Innovative problem solving and process improvement and excels in employee engagement and team building
  • Establishes guidelines and communicates performance expectations and responsibilities of staff members through frequent informal interactions and NAU's formal employee performance management system
  • Provides informal and formal feedback and periodically evaluates their direct report performance
  • Responsible for recruiting, training, and providing ongoing career development for all team members
  • Facilitates regular team meetings, including appropriate personnel, to provide oversight and promote effective communication and development opportunities
  • Oversight and development of work improvement plans
  • Oversees the hiring process, position justification, creating interview committees, scheduling and conducting interviews, and the selection process
  • Provides advice and counsel related to work and administrative matters
  • Takes a proactive role in promoting and supporting Facility Services' mission and vision
  • Effects disciplinary measures as required in the area of responsibility

Customer Services (25%)

  • Participates and performs quality control inspections regularly
  • Maintains Service Level Partnership agreements with campus customers.
  • Possesses strong leadership skills with the ability to work independently to drive program compliance and reach expected performance and quality expectations
  • Monitors the status of work orders and follows-up with staff and customers regarding performance and quality
  • Resolves complaints and grievances as necessary
  • Responsible for providing and instructing employees to give exceptional customer service by promptly responding to customer needs; soliciting customer feedback to improve service while building and maintaining long term relationships
  • Responsible for interacting and developing partnerships with other departments and work units to attain Facility Services, Custodial, and Landscape and Outdoor Services department goals and objectives

Prepares and Provides guidance for Budgetary, Reporting, Policies and Procedures (20%)

  • Prepare clear and concise reports, correspondence, policies, procedures, and other written materials.
  • Responsible for developing long and short term operational plans/programs and all operational budgets to maintain efficient and effective operations that are within budget and meet the overall objectives.
  • Prepares documentation (e.g. written reports, analysis, and proposals) to inform and analyze operational areas including but not limited to the adequacy of both custodial and landscape coverage work-loading by building or area, the status of work orders, and the status of the budget.
  • Provides guidance and stewardship to direct reports for the management of budgets of their unit and advises the departmental leadership on budget impacts and future budgeting needs of the department.
  • Responsible for overseeing and monitoring departmental purchases, ensuring a sufficient inventory of materials, supplies, and equipment is maintained and available as needed for regular work activities and anticipated special events
  • Analyze data, present and effectively communicate to all levels within the organization related to training, and lead change management

Other duties as assigned (5%)

  • Initiates and researches a variety of information (e.g. products, operational guidelines, etc.) to remain up-to-date and knowledgeable on industry trends, processes and mandated regulations, and improvements to develop efficient and effective operations

Minimum Qualifications

  • 2 - 4 years of management or supervisory experience required
  • 3 - 5 years of relevant experience
  • Bachelor's degree
  • Any combination of experience and education
  • Possession of a valid Arizona Driver's license upon employment

Preferred Qualifications

  • APPA Certification, Certified Facility Manager (CFM) or equivalent
  • Comprehensive knowledge of buildings and landscape management, solid waste and recycling, and sustainable programs related to these areas with the ability to foresee problems and to implement solutions
  • Experience in both custodial and landscape services
  • Business acumen - which includes familiarity with budgets, financial reporting, and forecasting - and a developed maturity in decision process and interaction with people in a team environment
  • Experience managing a large, complex organization
  • Experience at Higher Education institution or large corporate campus
