Job Description

The Patient Services Manager manages the day-to-day activities of the clinic including medical services, nursing services, urgent care services, counseling services, and ancillary services provided. Responsibilities include supervision of staff, ensuring efficient patient flow in the clinic and ensuring clean and safe facilities. This position reports to the Director of Operations and provides support to all areas of Campus Health Services.

Staff Training and Management 40%

  • Plan, prioritize, schedule, train, supervise, monitor, review, and evaluate Patient Services staff employees and their work.
  • Develop new processes, provide excellent customer service and patient flow.

Provider Schedules 20%

  • Build, adapt, change, and edit the patient management schedules for the providers in medical services.
  • Review schedules, monitors to ensure adequate levels of staffing, and make recommendations for coverage.
  • Monitor the schedules for nursing and counseling services.

Building Operations 15%

  • Serve as building manager for Campus Health Services (over 60 staff members) and submit work orders and ensure follow-up.
  • Distribute and keep records for all keys in Campus Health services.
  • Manage the Lenel system (card reader access).
  • Monitor and generate reports of authorized and unauthorized access.

Medical Records/Release of Information 10%

  • Manage the activities of the medical records area.
  • Implement and modify medical records system to comply with licensing, ambulatory care accreditation, and statutory requirements.
  • Implement policies to preserve the confidentiality of information contained in the medical records and monitors compliance.
  • Resolve problems that arise with releases of confidential medical information.
  • Release medical records on clients and clinician’s request for medical information from outside medical facilities.
  • Provide medical information in response to subpoenas.

General Administrative Duties 10%

  • Organize meetings and reserve locations.
  • Monitor office supplies for medical clinic.
  • Assist with answering phones and other front desk activities.
  • Assist with other projects daily as needed.

Other duties as assigned 5%


Minimum Qualifications

  • Bachelor’s degree in Administration or related field.
  • 2-4 years of directly related experience.
  • 1-2 years of management or supervisory experience.
  • Any equivalent combination of related experience (medical office management), training and/or education approved by Human Resources.
