Executive Coordinator of Graduate & Professional Studies


The Administrative Coordinator directly supports the Vice President of Enrollment and Marketing and serves as office manager for the division of Graduate and Professional Studies.

As the Vice President of Enrollment and Marketing's principal liaison to other administrative assistants and coordinators in the University, the Administrative Coordinator is responsible for arranging meetings, communicating with the administrative team on behalf of the Vice President, and other coordinating functions.

The Administrative Coordinator provides direct support for the Vice President of Enrollment and Marketing, the Assistant Vice President of Graduate and Professional Studies, the Dean of Graduate and Professional Studies, the Director of Graduate Enrollment, and the Director of Graduate Student Services and Advising.

Daily responsibilities include maintaining records, processing invoices, organizing events, handling communication between the division and the Academic Affairs division, the faculty, as well as with other college staff, and providing clerical, receptionist, and other forms of support for the Division of Graduate and Professional Studies. The Administrative Coordinator also facilitates the preparation of the online Graduate and Professional Studies academic catalog and manages the Professional Studies course registration system.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  1. Serve as the frontline receptionist for the Division of Graduate and Professional Studies: handle inquiries and provide pertinent information (in person and via telephone), assist in the scheduling of appointments for the professional staff, manage pedestrian traffic in the office, coordinate academic programs and events, respond to crises as they arise.
  2. Serve as the office manager: provide direct administrative support to the professional staff members, assist in the management of various budgets, coordinate payroll for faculty teaching graduate courses and staff /consultants (as needed), maintain inventory of supplies. Maintain the general office area, assist in the management of various budgets and reports, serve as supervisor for student workers, schedule and coordinate meetings as well as other related duties.
  3. Provide administrative support for the leadership team in Graduate and Professional Studies.
  4. Prepare reports, conducts research, and works with departments across campus on an array of projects.
  5. Provide support to division-sponsored programming efforts, including assisting in the creation of promotional materials, presentations and other marketing efforts.
  6. Communicate with stakeholders: Board of Trustee members, Senior Management members, students, students' family members, faculty members, various departments within the College, vendors, corporations, other not-for-profit organizations (including colleges and universities), government entities and other external organizations.
  7. Other duties as assigned.

MINIMUM KNOWLEDGE AND SKILLS REQUIRED BY THE JOB:
  • Bachelor's Degree is preferred, with pertinent administrative experience.
  • Computer Skills: Microsoft Outlook, Microsoft Office suite (Word, Excel, PowerPoint), high level technological proficiency and ability to quickly learn and use the College's information systems.

  • Exceptional organizational and interpersonal abilities. Skill in dealing with people, diplomacy, tact, maturity, discretion and the ability to maintain confidentiality. Must have the ability to work well with both internal and external constituencies
  • Candidate must be energetic, highly motivated, flexible and team-oriented with an ability to identify, train, and manage volunteers from a variety of age groups.
  • Strong computer literacy required including familiarity and comfort with spreadsheets and databases.
  • Requires some evening and weekend obligations.
  • Sound judgment and a good sense of humor.
  • Excellent work ethic.
