Job Summary

The office of the Registrar (RO) is encouraging applications for a Project Coordinator and Student Manager! This full-time professional exempt position assists the associate registrar with the daily operations of the Technology, Communications and Reporting (TCR) unit. The position provides tier I support for incoming service requests, assigns work to student developers based on urgency and level of complexity, and raises issues to the development team. This role works with the team to align tasks with the strategic plans of the unit, department and university to achieve established goals, objectives and missions. Assist with technical support for the department, coordinating efforts with Dedicated Desktop Support (DDS), Office of Information Technology (OIT) and other technology professionals as needed. Assist in the rollout of IT solutions. Aid in the creation of HTML, Drupal and OnBase forms. Track progress of assigned work, maintain project documentation and calendars. Assist in developing test plans, ensuring accuracy and quality of work and engaging directly with partners to ensure needs are on course for the best solution.

What Your Key Responsibilities Will Be

Project Coordination

  • Document and follow up on important actions or decisions from meetings.
  • Prepare needed presentation materials for meetings.
  • Ensure project deadlines are met.
  • Assess project changes, raise any roadblocks, make adjustments to project scope. Identify and advise on potential risks, and possible solutions to the unit leadership.
  • Provide administrative support. Undertake project tasks as required, including developing project strategies.
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately.
  • Cultivate and maintain a project calendar for fulfilling each goal and objective.


Student Work Study Manager

  • Work with others in the unit to establish clear objectives for student work assignments.
  • Track the progress of student developer assignments and ensure progress towards service delivery, aligning with project timelines and established MOUs/SLAs.
  • Help build and test plans.
  • Ensure the accuracy and quality of student development work.
  • Works with other specialists in the department for onboarding, timesheets and administrative responsibilities associated with student work study.


Customer Service Support

  • Provide Tier I support, advancing service requests to the appropriate professionals in the unit. Assign work to student developers based on the time allotted for resolution and level of intricacy.
  • Analyze constituent feedback.
  • Measure quality of service and ensure timely communication.
  • Use approved service management platforms such as ServiceNow to provide regular reports to the associate registrar on integral metrics such as average response time, number of requests received per service and technician assignments.
  • Identify customer service trends.
  • Provide recommendations on adjustments to support tiers and service agreements, helping to assess any potential service delivery bottlenecks and promote optimum resource utilization.


Electronic Form Design/Development

  • Develop the basic layout of electronic forms using established templates in Drupal and OnBase.
  • Coordinate partner needs with the development team for data integrations and workflow implementation.
  • Coordinate with the communications team on usability, accessibility and branding standards.
  • Update project timelines based on partner needs, developer bandwidth and established goals. Work with the associate registrar and unit leadership on prioritization.


Continuing Education/Professional Development

  • Maintain current knowledge of information technology systems with seminars, user group meetings, education, conferences, newsgroups, and other contacts in order to recommend modifications, improvements and upgrades to the registrar’s computer systems.


Other Duties as Assigned

  • Perform all work responsibilities and maintain confidentiality in all applicable policies, rules, regulations, and laws, including Office of the Registrar department policies, University policies, Family Educational Rights and Privacy Act (FERPA).


What We Can Offer

The annual salary range for this position is $50,000-$55,000.

What We Require

Bachelor’s degree from an accredited college or university or equivalent combination of education and experience.

What We Would Like You To Have

  • Experience working in higher education.
  • Experience with student records business processes.
  • Experience with project management software such as Project Online with the capability to meet project timelines, communicate roadblocks, and report progress.
  • Experience with Oracle Campus Solutions/PeopleSoft applications. Experience with BI Tools such as Cognos. Experience with agile development methodologies.
  • Experience managing a Drupal website.
