The Department of Health, Behavior & Society is seeking aSenior Administrative & Academic Coordinatorwho will provide a wide range of administrative and academic support activities to the. This position will support the Administrator and the Academic Program Administrator with tracking students; student funding; and other Admin functions as assigned by the Administrator.

Specific Duties & Responsibilities:

  • In consultation with the Academic Program Faculty and Administrator, create and maintain a comprehensive database containing student information (biographical details; location; program; year of study; awards/tuition funding etc..).
  • Maintain database to include student tuition funding sources: T32s, Fellowships, Gifts; Departmental and other awards.
  • Make DGA tuition entries (annually or by semester) to reflect tuition funding sources.
  • Maintain spreadsheet for courses, matrix, and course number log
  • Assist Students with grant opportunities and submissions. Ensure funding is captured in DGA.
  • Manage the MyPerformance system for the Department including 120-day reviews; semiannual check-in and annual review.
  • Coordinates merit review process. Uses University guidelines to determine merit increase and is responsible for communication of such increases to supervisors and staff. All exceptions must be approved by Administrator and Divisional HR office.
  • Works closely with Administrator on compiling information for disciplinary decisions.
  • Assist hiring managers with the selection of proper employee type/position and creation of job description information; and other documentation to go to BHRSAdmin.
  • Requests payroll actions on behalf of Administrator for new hires, annual increases, transfers, and terminations. Monitor and maintain appropriate payroll related documents.
  • Assist Administrator in preparation of General Funds budget.
  • Serve as point person for Effort Reporting System
  • Serve as central point for entry of support services requests for network, telephone services, ID badges, copier card access, and maintain files on system security access.
  • Prepare and maintain academic and HR content on HBS intranet, to include processes and forms.
  • Primary point of contact for student expense reports, track student expenses against Department awards and budgets.
  • Process all ad-hoc payments for Faculty; guest speakers etc.. associated with HBS course offerings, OPAL, Summer and Winter Institutes.
  • Liase with OIS on Faculty and Student work and study visas. Facilitating completion of paperwork and payments.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED.
  • 5 years progressively responsible administrative experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Bachelor’s Degree preferred.

Special Knowledge, Skills & Abilities:

  • Highly organized and detail-oriented.
  • Excellent communication and coordination skills and comfortable working across multiple stakeholders.
  • Ability to manage multiple projects successfully.
  • Proactive in anticipating Student and Faculty needs.
  • Sound judgment on prioritizing competing projects.
  • Proficiency with Microsoft Office Suite/365.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
