Administrative Assistant
Bridges to Adelphi
JOB SUMMARY:
This position provides secretarial and administrative support to the Bridges to Adelphi administration, staff, faculty, and university administrators. Assist current, and potential new students with inquiries, problems, and general university policies and procedures.
REPORTS TO: Director/Senior Associate Director of Bridges to Adelphi
RESPONSIBILITIES & DUTIES:
- Performs all secretarial duties for administration and staff.
- Coordinate and arrange meetings for full time staff
- Compose, organize, and maintain correspondence and communications with university administration and faculty, and Bridges Program staff, students, and parents
- Operationally support administrative, graduate and undergraduate student staff
- Supervise undergraduate clerical staff
- Manage all purchases for the Program, and ensure timely processing of purchase orders
- Oversee and maintain records of student demographics and confidential records
- Oversee and maintain records, and communicate with, potential new enrollees in the Bridges Program
- Keeps confidentiality in regards to all HIPPA and FERPA laws.
- Compile Program statistics and data, as requested
- Oversee and maintain graduate student staff payroll records and time sheets
- Approve student worker and hourly employee time cards
- Input Paid Time Off for full time employees
- Orders necessary supplies for the office.
- Place work orders for repairs and housekeeping
- Be the first point of contact, and screen all telephone calls and visitors
- Assists in keeping track of potential incoming students for following semesters.
- Assist Director in optimizing operating and capital budget expenditures
- Assists in maintaining budget and payroll transaction forms
- Attends university training programs as often as necessary to remain proficient in using university technology.
- Communicates with coordinators regarding student feedback and staff feedback
- Assists in scheduling tutoring support sessions through the learning and writing center
- Performs other job related duties as assigned.
REQUIREMENTS (Knowledge, Skills and Abilities):
- Demonstrates ability to effectively interact with students under all conditions on a regular basis.
- Demonstrates ability to type and use Microsoft Word and Excel proficiently.
- Excellent organizational interpersonal, and communication skills are a must.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
- Associate degree or equivalent combination of education and experience.
- Minimum of two years general office and secretarial experience required.
HOURS:
- Monday - Friday, 8:30am - 4:30pm.
