Job Description:

Reporting to the Director of Corporate and Foundation Relations, the Assistant Director is part of a team responsible for maximizing philanthropic support from corporations and foundations as well as appropriate government sources through grant and contracts. The primary responsibility of this position is to facilitate full pre-award and post-award operations in the Corporate and Foundation Relations Office (CFR) that will contribute to the successful submission of proposals, optimal stewardship of grantors, and diligent tracking and reporting of solicitation and award metrics.

Essential Functions:
  • In collaboration with the Director, researches and investigates prospects to profile targeted grantors for suitability for designated University projects, faculty scholarship or new relationship development.

  • Leads in grants website maintenance and works with academic affairs, faculty and others in the Development Office to revise/add/update website material and resources that are most useful and timely to supporting faculty grantsmanship and that support knowledge of and compliance with University policies.

  • Maintains a portfolio of grantors that provide recurring resources to the University, including acknowledging and distributing annual opportunities, facilitating the submission of responsive proposals, and reporting and closeout for funded projects.

  • As requested, may contribute to the development and writing of proposals for corporate and foundation submissions. Works collaboratively with the faculty and other colleagues to ensure submissions are complete and deadlines met.

  • Leads in stewardship of active projects and grantors including developing high quality communications and reports for both grantors and internal audiences. Performs research to support briefings on specific grantors as requested by the Director and/or leadership, and in response to requests from grantors about historical performance. Works with Donor Relations to ensure timely reporting on endowments established/supported through Foundations and consistency between CFR and Donor Relations reporting obligations.

  • Leads in post-award administration, including assisting faculty with expenditure reconciliation and reporting, and communicating with the Business Office regarding project amendments, problem resolution and closeout.

  • Collaborates with the Director on data-tracking and reporting, including ensuring that grants files are updated/maintained in Raiser’s Edge. Prepares and distributes (in varied formats) summaries and analyses of metrics as requested and suggests metrics that clearly indicate overall grants activity from year-to-year, and aid in the equitable comparison of CFR performance to that of other fundraising efforts within Development.

  • Assists the Director with standard grants administrative duties as necessary and requested. In particular, assures that policies related to grants submissions and files are current and deployed as a part of daily operations, informs others regarding necessary compliance to University policies and grantor regulations as appropriate, and suggests edits to current policies, procedures or forms, or new approaches when necessary for compliance or beneficial to optimal grants operations for the University and the Office of Corporate and Foundation Relations.

  • Additional related duties as assigned.

Work Schedule: M-F, 8:30am - 4:30pm.

Minimum Qualifications: A bachelor’s degree is required; an advanced degree and/or certification (CFRE, CRA) is advantageous. Demonstrated grants management, or related experience is desired with a minimum of three years, as well as documented competency in data tracking and analysis, working with databases (Raiser’s Edge a plus) and spreadsheets, and knowledge of regulatory, technical, and financial requirements for grants. The ideal candidate must possess well-developed written and verbal communication skills. A commitment to excellent job performance and teamwork is essential. The ability to work effectively under pressure to meet deadlines while cultivating relationships is critical to success. Occasional evening and weekend work are required.
