The Administrative Assistant supports our Master of Library Information Science program (MLIS), School Library Media Specialist certification, and undergraduate Digital Humanities and Information Systems minor. TheAdministrative Assistantprovides high-level office management and administrative support to the director, faculty, and students and provides assistance in a professional manner with a strong service orientation. The role allows a high degree of autonomy to plan, organize, coordinate, prioritize, and perform work in diverse areas of responsibility. Evenings or weekends may occasionally be required to support program events or projects.

Responsibilities:
  • Professionally represent the department to all audiences including faculty, staff, students and external customers in a university that values diversity and multicultural understanding.
  • Manage the daily administrative operations of the department including calendars, mail, office supplies, department email and other miscellaneous tasks, demonstrating excellent accuracy.
  • Monitor and update the department information on publications including the website, enter and retrieve data, and maintain program files, reports and records with excellent attention to detail and accuracy.
  • Assist students and faculty in accessing policies, procedures, and forms for the program and the university, referring them to other departments or resources as necessary.
  • Assist the Program Director with surveys, reports and data compilation for accreditation purposes.
  • Hire, train and supervise student assistants including time sensitive timecard approval.
  • Collaborate with colleagues across the university to ensure the smooth operations of the department.
  • Draft correspondence, take meeting minutes, and provide faculty with administrative support.
  • Coordinate scheduling, room set-ups, technology requests, and catering for events and meetings

Minimum Qualifications
  • High school diploma orGED
  • Three years of full-time administrative experience that includes data management or project management
  • Experience serving people from a wide variety of backgrounds and experiences, treating them with respect, dignity and compassion
  • Experience with a large, complex database
  • Proficiency with Microsoft Office and Google suite
Preferred Qualifications
  • Administrative support experience in a university environment
  • Experience with Banner, D2L and Qualtrics
  • Social media management experience
  • Proficiency with project management software
