Front Desk Representative

Classification Title: Administrative Support Assistant II

Job Summary:
Under the general direction of the Enrollment Services and Customer Relations Director, the incumbent provides customer service, clerical support involved in registration and records keeping for programs. The incumbent works closely with program staff to provide thorough information about the college, our programs and the registration process. The incumbent also takes independent action in order to resolve problems for internal and external customers. This position is also responsible for processing and receipting of fees for all courses offered through the College of Continuing Education.

FLSA: Non-Exempt - This position is covered by health benefits, and is non-exempt, (eligible for overtime compensation) according to the Fair Labor Standards Act.

Department Information:
The College of Continuing Education (CCE) has been offering workshops, courses, certificates, and degrees to adult learners since 1951. CCE has evolved over the years to meet regional and statewide needs through a variety of services for the community. Currently, CCE cultivates and maintains strong relationships with local and state government leaders and policy makers by offering innovative education, training, and workforce solutions. Additionally, CCE provides service and expertise to Californians through conferences, stakeholder engagement, and capacity building among diverse stakeholders to address complex issues that inform public policy and constituent groups.

Minimum Qualifications:
Entry to this classification requires fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; an ability to understand standard office procedures; an ability to operate standard office equipment; an ability to learn office technology systems; an ability to perform basic arithmetic calculations and typing and keyboard skills.
These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.

Required Qualifications:
1. Experience in interpreting policies and procedures and ability to relate them effectively to others in person and on the telephone.
2. Evidence of registration processing (telephone, fax, on-line, walk-in), payment processing (cash, checks and credit card), record keeping, and financial reconciliations (bank deposits).

3. A demonstrated commitment to foster diversity, equity, and inclusion.
4. Ability to make appropriate work decisions independently by following or interpreting established policies and procedures and past precedents; ability to identify and solve standard problems, and refer more complex problems to appropriate staff.
5. Broad depth of customer service experience.
6. Ability to use software programs (MS Word, Excel, Access, Internet Explorer).
7. Effective communication and interpersonal skills to interact and communicate with all levels of staff and external constituencies, both verbally and in writing.
8. Good problem solving and conflict resolution skills; ability to apply independent judgment, address problems and refer to appropriate sources if needed.
9. Understanding of and experience with being quality oriented (accurate, timely, meets deadlines, dependable, responsive, proactive, detail oriented).
10. Team oriented; Ability to work in a team oriented environment and cooperative as a member of the department and organization toward the achievement of its mission and goals.

11. Experience working in a higher education environment which demonstrates responsibility for internal and external customer service to a diverse audience.
12. Working knowledge of common CSU systems (Common Management System (CMS) and Continuity 2000 (C2K) will be highly considered.
