Administrative Director       Responsibilities

We are seeking an experienced Administrative Director to join our team to provide oversight of all administrative activities and operations for the Department of Medicine Statistics Core (DOMStat) in the Division of General Internal Medicine & Health Services Research. In this role, your primary job duties include overseeing seamless Core program operations; developing and managing all information systems; reviewing all IRB to ensure compliance with the UCLA IRB regulations; providing financial management and oversight including structuring consulting agreements; creating, implementing and reporting program evaluation processes and activities, writing progress reports for all DOMStat collaborators including, the UCLA Clinical and Translational Science Institute (CTSI) and Department leadership, and providing oversight of all DOMStat staff. You will work with Core Director and Associate Director to improve processes for tracking collaborations, documenting statistician productivity, and triaging investigator requests within the Core. You will also work with the Core Director in setting up a secondary data core, and a shared resources core. Experience in program management related to medical research, financial management including creating agreements and contracts, supervising staff, writing reports, as well as competence using database software required (e.g., MS Excel and Access).

Qualifications

 

Required: • Working knowledge of basic research principles to support core statisticians and collaborators including: aid in preparation of research protocols; aid in implementation of research projects including developing strategies for primary data collection; aid in data preparation for analysis; assist in preparation of grant proposals for extramural funding. • Working knowledge of requirements and procedures involved in grant proposal, abstract, and journal article submission to different journals, private organizations, and governmental agencies. • Demonstrated skill in financial management, accounting and bookkeeping principles to accept oversight responsibility for managing collaboration agreements, tracking statistician and data manager effort, producing bimonthly financial reports, and providing budget projections to principal investigators. • Interpersonal skills to interact effectively and diplomatically with core faculty and staff, the director and associate directors of the program, faculty members from a variety of departments at UCLA and other CTSI-affiliated institutions, the staff of simultaneous ongoing research projects. In addition, interpersonal skills to translate requirements and needs of funding agencies into practical applications as determined by the University. • Ability to work independently; make decisions; hire and supervise staff; conduct performance evaluations; counsel staff to resolve employee relations; delegate work and oversee timely completion of projects with concurrent and conflicting deadlines. • Demonstrated knowledge of personal computers to included experience with: word processing and desktop publishing programs; graphics programs; spreadsheet programs; database management programs; statistical packages; literature search programs; and disk operating systems. In addition, some knowledge about data preparation, entry, and simple statistical analysis. Experience with R, STATA or SAS preferred. • Organizational skills to oversee management of resources amounting to over $3 million including working with faculty and staff on research project management (including staff selection, management, and distribution of resources), and coordinating core meetings. • Demonstrated expertise in the IRB, including preparation and submission of applications. Must be fluent in current policies relating to human subjects in research. • Knowledge of standard abbreviations for medical journal titles and demonstrated ability to use reference sources to find/check unusual abbreviations. • Ability to travel to multiple research sites within Los Angeles.
