Job Description Summary

Under supervision, performs general clerical/office activities to assist the department in administering programs and services offered to the community. Provides first line of contact with the general public in person, by phone and email, to provide information and assistance as it relates to the department’s activities/services, rules and regulations.

Minimum Qualifications

  1. High School Diploma.
  2. Three years of work experience in an office or customer/student support environment.

  1. Greets visitors; answers telephones; provides and receives information of both a routine and confidential nature requiring discretionary judgement and knowledge of departmental policies, procedures, activities, etc. or refers issues and concerns to appropriate party for resolution.
  2. Provides customer services by providing forms/applications and answering routine and non-routine questions regarding departmental programs and services.
  3. Processes forms, applications and other documents by reviewing for completeness, verifying information, and performing necessary calculation, coding and data entry into computer/business systems.
  4. Performs general clerical/administrative support functions. Composes and/or types letters, forms, memoranda and reports from abbreviated notes, recordings and records; transcribes and/or takes minutes of routine meetings; copies materials; maintains filing system; sorts and distributes mail.
  5. Tracks and monitors office supply inventory and arranges for replenishment of items as necessary.
  6. Administers the use of office folding, envelope stuffing and mail preparation equipment. Recommend maintenance as needed.
  7. Gathers, receives and compiles data from several sources; compares information to verify accuracy and prepares informational and/or statistical reports according to established procedures.
  8. Receives, responds and/or relays incoming requests for assistance and tracks/records activities.
  9. Manages inquiries from prospective students from multiple departmental inboxes.
  10. Attends departmental staff meetings and external meetings; prepares and distributes of minutes as directed.
  11. Assists with Peak Registration and other divisional initiatives.
  12. Performs other duties as assigned by the Director of Recruitment & Admissions or other designee, as assigned.


Job Requirements

  1. Must be able to work Monday through Friday 8:30 am – 4:30 pm.
  2. Must be able to work occasional Saturdays & evenings for Recruitment events (i.e. Open House, Peak Registration).
  3. Bilingual/Spanish speaking a plus.
  4. Ability to communicate effectively in spoken and written standard English.
  5. As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
