Auburn University at Montgomery invites applications for the position of Senior Executive Associate to the Chancellor. The Senior Executive Associate to the Chancellor is a self-motivated and highly responsible team player that works independently and performs administrative assistance duties of the highest level of responsibility, confidentiality, and sensitivity for the Chancellor and manages the clerical operations of the Chancellor’s Office.

Under the direction the Chancellor, incumbents use significant judgment in decision-making; perform a wide variety of specialized, difficult, and responsible administrative and secretarial functions of the assigned office; relieve the administrator of a wide variety of complex and routine administrative details on issues not requiring the administrator’s immediate attention. Support a wide range of complex programs, projects, and operations in which contacts must be tactfully handled. Act as the primary point person for the assigned office for both internal and external contacts. Oversee and coordinate the day-to-day office operations, as well as special events; may supervise and schedule work of staff.

Senior Executive Associate to the Chancellor:

Check and analyze complex documents for completeness, accuracy, and proper format according to standard procedures and ensuring compliance with applicable rules and regulations.

Collaborates with other AUM operational areas to ensure compliance with personnel records, purchasing, payroll, inventory, accounting, financial, costs and other operating records where technical knowledge of established policies and procedures is required; maintain confidential records and/or documents.

Coordinate activities involving the distribution and receipt of information from departments or units within the assigned area.

Assist in the development, coordination, and drafting of policies, briefing reports, executive reports, and similar documents; update assigned records and/or manuals as necessary.

Compose and prepare correspondence, reports, and other documents which represent the policies and philosophy of the Chancellor of the University, community, and general public; sign correspondence, reports, and administrative forms for the Chancellor as directed; respond to requests and inquiries from employees and the public on appropriate matters; and resolve issues and direct calls.

Develop and coordinate the preparation of support materials for the Board, standing committee meetings, and required follow-up actions; develop agendas, minutes, and related records for selected committees in which the Chancellor has a significant role; attend meetings as requested; assist in the development, coordination, briefing reports, executive reports, University policy, and similar documents; update records and/or manuals as necessary.

Coordinate travel arrangements for the Chancellor; write, coordinate, and/or distribute correspondence, photos, biographical information, and edit speeches associated with travel and/or speaking engagements; review and process expenditure requests; maintain Chancellor’s appointment calendar; schedule meetings, conferences, and telephone conference calls.

Provide guidance and leadership for other central administrative office support staff.

Salary: $50K-65K

Bachelor’s degree with (7) years of experience as an office manager or executive assistant or performing similar work; or executive level experience equivalent to 10 years in lieu of Bachelor’s degree.
