Job Description Summary

The Executive Associate to the Vice President of Enterprise Technology serves as assistant to the Vice President for Enterprise Technology and performs highly diversified duties with direct responsibilities for effective operation of the office and support of the administrative management of the area. The Executive Associate is responsible for providing highly professional executive and administrative support across a range of tasks to include managing the office of the Vice President, calendar management, meeting coordination, prioritizing work assignments, and ensuring timely completion of technology reports and projects.

Minimum Qualifications

  1. One to two years of college credit (30 credit hours is equivalent to one year) or equivalent formal training in the office of a CEO as an Office Manager or related field.
  2. Combination of education and related experience for a total of four to five years. Associates degree preferred.

  1. Manages the vice president’s office, prioritizes work, and ensures timely completion of tasks.
  2. Assumes responsibility for the day-to-day operation of the vice president’s office
  3. Coordinates and monitors work within the vice president’s area of responsibility for timely submittal of reports and the attainment of other critical project deadlines.
  4. Creates and responds orally and/or in writing to inquiries directed to the office of the vice president addressing general Enterprise Technology operations.
  5. Reviews, screens, refers and/or resolves inquiries/problems relating to the Enterprise Technology area.
  6. Composes and disseminates correspondence related to office issues.
  7. Interprets, communicates and applies rules, regulations, laws, policies and procedures of the college.
  8. Communicates the policies and procedures of the Enterprise Technology area to the college community.
  9. Works with the Vice President for Enterprise Technology to prepare Enterprise Technology documents for release to the college community, distribution to the Senior Team, vendors, and for the completion of processing through the appropriate channels.
  10. Acts as liaison between the vice president and his staff, the college, vendors, and the community.
  11. Collects, enters, edits and submits annually Enterprise Technology data for the Campus Computing Project Survey and the Educause Core Data Survey.
  12. Oversees the procurement of the Enterprise Technology division’s recurring contracts for memberships, dues and subscriptions.


KNOWLEDGE, SKILLS & ABILITIES
  1. Strong knowledge of general office management and organization.
  2. Strong organizational skills.
  3. Knowledge of modern office practices, procedures and equipment;
  4. Knowledge of business English, accounting procedures, and proofreading.

  8. Strong knowledge and experience using Microsoft Office, ERP, and SIS systems.
  9. Ability to perform detailed work independently, as well as in a team environment.

  11. Strong customer service skills.
  12. Skilled in taking minutes of meetings, composing and filing correspondence, dealing with the public, both in person and on the telephone, and as a timekeeper.
  13. Ability to multitask.
  14. Ability to work with people at all levels.


Job Requirements

  1. Must be available to work Monday – Friday, 8:30 a.m. to 4:30 p.m. Work schedule subject to change based on the needs of the department.
  2. Ability to communicate effectively in spoken and written standard English.
  3. As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
