Position Summary:
The Military Student Services in the Division of Strategic Enrollment Management and Student Success’ School Certifying Official position will work with veterans, active service members, spouses, and dependents to ease the transition from military life to academics by assisting them with questions related to veteran benefits and services. The position will serve as the primary VA certifying official by reviewing and submitting claims for VA benefits. This position supports military service members and their families as vital and valued members of the VCU community.
Core Responsibilities:
- Certify Veterans Benefit Eligibility (40%):
- Process and certify all VA applications and RFCs accurately and
in a timely manner using VA Once and VCU’s RFC portal.
- Certify student applications for eligibility benefits and
update enrollment data following all federal, state, and University
guidelines.
- Monitor VA programs to ensure program compliance and update students and staff as needed.

- Manage Student Data and Information Systems (30%):
- Maintain student data using VCU’s student information systems including entering military affiliated identifiers and current status, adjusting prior certifications as needed, and logging student contacts.
- Monitor attendance requirements as required by VA regulations.
- Resolve discrepancy reports weekly.
- Continually update enrollment status and other information in VA Once.
- Manually update all student files applying all appropriate policies and procedures.
- Customer Service and Response (15%):
- Respond to all inquiries related to the VA certification process, VA benefits, and financial advising.
- Proactively disseminate all necessary information regarding educational benefits, including deadlines, procedures, and policies to students and staff in a timely and courteous manner.
- Maintain the information available on the department’s website and utilize social media as appropriate to communicate information.
- Advise on the best use of educational VA benefits to maximize the impact to eligible students.
- Green Zone Presentations (10%):
- Support Green Zone presentations and Student Veterans of America (SVA) functions at VCU by developing and maintaining the information needed for these training courses.
- Present the benefits portion of these presentations as appropriate.
- Promote these activities and coordinate with outside agencies and VCU departments to present this information.
- Other Duties (5%):
- Collaborate within SEMSS and other university partners as needed.
- Assist with other assigned student and departmental activities.
- Ability to utilize a personal computer and appropriate software to conduct work in an efficient and timely manner.
- Ability to interpret and apply applicable federal VA regulations, state, and University policies and procedures.
- Ability to exercise good professional judgement as needed to ensure that appropriate aid resources are directed to students.
- Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
- Bachelor’s degree completed or in progress.
- Experience with veterans and veteran educational benefits.
- Experience applying veterans benefits in a student financial aid role.
- Experience serving as a certifying official.
Work is conducted primarily on campus in an office environment.
