Position primary purpose and general responsibilities:

Executive Administrative Assistants provide administrative support to management/upper-level administrators in a school, department, or business unit. They participate in development and implementation of clerical standards, policies, and practices for the organization while maintaining confidentiality, tact, discretion, and diplomacy. Executive Administrative Assistants are required to have a greater knowledge of the executive administrative role; the complexity of assigned work; an ability to identify options and develop solutions for unique or unprecedented situations; greater decision-making authority; and the judgement, resourcefulness, and ability to identify issues and/or areas that should be addressed differently. They are resources for others, participating in mentoring, coaching, and training.

This senior level professional will provide executive level administrative support to the Dean and Senior Associate Dean for Finance and Administration and will ensure that the daily operations of the Dean’s Office are run effectively and in accordance with the established goals and objectives. The incumbent will serve as the primary point of contact for the Dean and Senior Associate Dean and act as a liaison between them and other internal and external officials and organizations. He/she will support the Dean and Senior Associate Dean for Finance and Administration in meeting the teaching, research, service missions, and external relations for the College of Health Professions. Specific duties will include: coordinating the daily affairs of the Dean and Senior Associate Dean, facilitating written and verbal communication, faculty affairs, space and event planning, coordinating and executing strategic College initiatives, improving current processes for optimized efficiency and productivity, and serving as the lead on high-profile projects. A few specific examples include: planning and facilitating a Chair retreat, bringing subject matter experts as speakers to the College on high profile topics, tracking strategic planning processes, facilitating meetings in the absence of the Dean, creating College newsletters and creating communication processes for the Dean’s direct reports.


Minimum hiring standards:


• Graduation from an accredited college or university with a bachelor’s degree or an equivalent combination of college and related experience.

• Progressively responsible administrative/executive level support, preferably in a university setting.

• Demonstrated ability to prioritize work, handle multiple tasks and meet deadlines.

• Excellent oral, written, and interpersonal skills along with excellent customer services skills.

• Positive, helpful, service-oriented attitude required.

• Ability to apply strong teamwork skills to daily management of tasks and interactions with coworkers.

• Proven ability to attend to details and experience proofreading work of others.

• Ability to adapt and learn new technology with minimum guidance, utilizing technology to maximum efficiency. Proficiency in Microsoft Office Suite, especially Excel, Work and PowerPoint, with knowledge of other common programs applicable to business operations such as Visio, Banner and eVA, Event Management Systems (EMS), Terminal-4 (web management system).

• Ability to work in a fast-paced environment and to take initiative.

• Demonstrated ability to handle confidential matters and exercise professional discretion.

• Demonstrated ability to independently problem solve using sound judgment

• Demonstrated ability to deal effectively with wide variety of people in person, on the phone or electronically.

• Demonstrated experience or high potential for fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU

Salary Range: $54,200- $58,000
