Position Summary:

This position reports to the Associate Vice President for Risk Management Services and provides administrative support for all functions housed within Risk Management Services (i.e., Risk Management, Workers' Compensation, Environmental Health and Safety, Business Continuity Planning, Emergency Preparedness, etc.) The incumbent will coordinate business meetings, prepare correspondence, review, and edit policies and procedures, file records, schedule training sessions, assist in the management of complex data systems, identify and correct system administration problems that contribute inefficiencies within RMS, and maintain the security of confidential data and communications. The incumbent will also play a significant role in completing data entry activities in support of our various business applications.

CSU Classification Salary Range: Minimum: $ 3,352.00 Maximum: $ 5,639.00

Hiring Range: $3,352.00-$3,923 monthly

Salary Grade/Range: 2

Pay Plan: 12 Month

Work Hours: Monday-Friday 8:00am-5:00pm

Risk Management Services (RMS) supports the University by assisting faculty, staff, and students identify and mitigate their exposure to risk. Our offices help reduce potentially dangerous incidents for the campus community, enabling us to ensure campus safety, protect our environment, save resources, and strengthen community partnerships.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to communicate clearly orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience
Required Qualifications

Knowledge, Skills, Abilities, Experience

1. Experience providing clerical and administrative support functions in a complex administrative environment.

2. Ability to schedule, organize and coordinate meetings in a complex administrative environment.

3. Ability to accurately record meeting minutes and to capture and track action items resulting therefrom.
4. Ability to draft and compose correspondence and standard reports. 5. Possess excellent oral and written communication skills. 6. Possess exceptional record management skills (filing, organizing files, etc.). 7. Ability to handle multiple work unit priorities and projects independently. 8. Ability to apply a wide variety of policies and procedures where specific guidelines may not exist. 9. Possess problem-solving and conflict resolution skills. 10. Ability to analyze and recommend process improvements and best practices for operational efficiencies. 11. Working knowledge of budget and financial record tracking. 12. Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections. 13. Ability to handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature effectively. 14. Possess working knowledge of Microsoft Office Programs: Word, Excel, PowerPoint, Outlook, etc. 15. Ability to use standard office equipment. Preferred Qualifications
16. Possess a fundamental knowledge of enterprise applications such as Learning Management System (LMS), and Common Management Systems (CMS), and a variety of other applications that are used in higher education settings. 17. Experience providing administrative support in a higher education setting. Conflict of Interest The duties of this position include participation in decisions that may have a material financial benefit to the incumbent. Therefore, the selected candidate will be required to file Conflict of Interest Form 700: Statement of Economic Interest when they first occupy the position, on an annual basis, complete ethics training within 6 months of appointment, and attend this training every other year thereafter.
