Job Description:

Under the direction of the Assistant Vice President of Student Engagement and Diversity, the Office Coordinator of Student Engagement's primary responsibility is to provide administrative support for office operations and student organizations and assume the role of project manager at times during the academic year. This position involves direct interaction with students and members of the faculty and staff. The major portion of the incumbent's time is spent supporting the departments under the Student Engagement and Diversity area: Departments of Student Activities, The Student Center, Spiritual Life, Fitness & Recreation, and Diversity & Inclusion and assumes primary responsibility for accuracy and timeliness of routine and non-routine projects and assignments.

Essential Functions:

1. Office Support - 55%:

  • Serve as the central contact person and information provider for the Student Activities & Student Center, Fitness & Recreation and Diversity & Inclusion offices; answer questions related to standard policies and procedures pertaining to co-curricular education, leadership development, Student Center, and by phone and in-person; provides directions and campus information for administration, staff, visitors, etc. as they relate to these offices;
  • Responsible for the coordination of overall office support functions for the departments as mentioned above. This includes but is not limited to; maintaining office documents, (passwords, subscriptions, memberships, etc.), copier machine, printers and other office equipment. Ordering and maintaining inventory of office and event supplies;
  •  Schedule appointments and meetings for the departments;
  • Receive and process incoming mail and packages;
  • Creates and maintains office procedure documentation;
  • Ensures confidentiality and resolution of all student/family concerns, inquiries or issues;
  • Manages the student activities department email account;
  • Provides general office support, including stocking office supplies, general service calls and work orders, ordering supplies for programs and events, equipment inventory and sign-out, setting up meetings for Directors;
  • Confirms student leader eligibility each semester by verifying academic progress and minimum grade standards and adding coding students in Banner system;
  • Coordinates payroll process including onboarding of (new employees) for student staff employees under the student employment umbrella;
  • Manage office contact with outside vendors and agents, both those who come on campus and those we interact with for other needs.

2. Supervision - 5%:

  • Responsible for all student workers, including hiring, scheduling, training, supervising, and payroll.  Student-workers include a staff of campus life attendants who maintain the student organization area and the student activities office.

3. Budget Coordination -25%:

  • Coordinates office financial services, including departmental budget management, processing payments, budget transfers, and reconciling corporate card statements for Student Engagement Staff;
  • Administers all SGA and GSA payment processes, including online financial request approvals, processing payments. Attend weekly Finance Committee meetings and track all initiatives requests and awards.

4. Event Planning - 15%:

  • Assists in coordinating major events and departmental programming such as the Fall Involvement Fair, Winter Involvement Fairs;
  • Welcome Week, Fight the Frost Week, Senior Week, etc;
  • Assists with all major Student Engagement Programs, including student selection process, leadership/recreational events, etc.  As needed, assists with all major University programs as required, including Orientation, Move-In, Open Houses, and Commencement.

5. Database & Web Portal Management:

  • Maintains email accounts including activities@curry.edu, studentcenter@curry.edu (ADD diversity@curry.edu), and fitnesscenter@curry.edu, forwards necessary information, and responds to inquiries as appropriate;
  • Serve as departmental Content Manager for the MyCurry Web Portal, including but not limited to coordinating with department heads ways to utilize the web portal best, conducting monthly audits of portal pages and identify areas for improvement or updates, and provide training and support to staff in the department on content management.

Additional Functions:

  • Perform other duties as assigned;
  • Respect confidentiality, parameters of operation, professional protocols, individual privacy, and the truth.

 

Requirements:

Minimum Qualifications:

  • Minimum 1-3 years' experience in an office setting, preferably within Higher Education.
  • Bachelor's degree required.
  • Familiarity with PC Software, including Microsoft Office Suite, Constant Contact.
  • Demonstrated understanding of event coordination and budget management.
  • Ability to think critically and problem solve under own initiative or with direction.
  • Friendly, outgoing demeanor and willingness to be flexible on projects and timelines.
  • Commitment to a diverse and multicultural program in department programs.
  • Excellent interpersonal skills.
  • Strong oral and written communication skills.
  • Ability to thrive in a diverse and inclusive setting.
  • Strong professional and ethical standards to serve as a role model to a diverse student constituency. 
  • The position works in a fast-paced, student-centered environment with the need for a high level of customer service.
  • Ability to demonstrate a positive attitude and accept constructive criticism as a measure of modeling improved performance and outcomes.

  • Ability to work on some non-traditional night and weekend hours.

Preferred Qualifications:

  • Familiarity with Banner, Canvas
  • A minimum of two to five years of office experience working in a higher education environment with a student population or equivalent.
