The Safety & Risk Management team has an exciting opportunity for an Administrative Assistant - this is a brand new position within the department!
Job Summary
The Administrative Assistant provides executive level administrative and operational support, serves as the first point of contact to Safety & Risk Management, and plays an integral role in achieving the efficient and smooth operation of the office. The successful candidate is responsible for making independent, appropriate judgment calls when scheduling appointments, handling calls and correspondence, and coordinating general and sensitive information.
The incumbent will also provide exceptional office and administrative support by drafting correspondences and reports; assisting with calendar maintenance and scheduling appointments; facilitating meetings and events including the creation of agendas, taking and transcribing meeting minutes; responding to customer inquiries in person, online, and via telephone in a timely and respectful manner; directing visitors and incoming calls to appropriate offices and departments; retrieving and delivering incoming and outgoing office mail; preparing correspondence, reports, and other documents. assisting staff with event coordination and set up; maintaining personnel contact information and updating employee distribution lists; building manager coordination; Monitoring and submitting tickets for facilities related work orders. Compiles information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
Minimum Hiring Standards
Bachelor’s degree or the equivalent and two years of experience in a business or office-related setting
Must be willing to learn new skills and exceptional positive service-oriented customer service skills
Demonstrated ability to prioritize work and handle multiple tasks simultaneously
Proficiency in Microsoft Office Suite, Google Drive, virtual communication platforms
Excellent verbal/written communication and customer service skills
Ability to draft, edit, and prepare professional writing (letters, memos, meeting minutes, etc.)
Proven ability to attend to details and meet deadlines
Experience in meeting coordination and planning
Demonstrated ability to problem solve, use sound judgment, and work independently with little supervision.
Demonstrated experience working in and fostering a diverse faculty, staff, and student environment at VCU
Preferred Hiring Standards
2-3 years of work experience in an administrative/office support position
Work experience in a key administrative position in higher education
Experience in complex work environment
Knowledge of University policies, procedures, and organization
Salary Range: $36,000 - $42,000
Department: Safety & Risk Management
Employment Type: FT University
Hours: Monday - Friday 8:00 am to 5:00 pm
FTE: 1 Exemption Status: Non Exempt
