The Admissions Office, JHSPH Student Affairs is seeking anAdmissions Coordinator.

Specific Duties & Responsibilities:

Admissions Services Processing

  • Assist with Processing Applications
    • Uploading test scores to admissions uploaded documents and process test scores in the checklist in SOPHAS.
    • Check test score systems daily for new test scores.
    • Process Certificate and Post Doc Applications.
      • Certificates - Check in application, email incomplete applications, move to complete, update Final Missing Documents, Complete Final Missing Documents, Work with Coordinators to get decisions within 2 weeks, and remind applicants to accept offers of admission.
      • Post Doc Applicants – process new post doc applicants, maintain post-doc database, review documentation for doctoral degree (confirm with Director), send out approval notifications and update in SIS.
      • Back up and assist with admiss email account during peak season.
      • May assist with processing non-certificate applications during peak-season.
  • Record Maintenance
    • Responsible for file transfer to OnBase at the end of each term. Includes creation of files for upload, actual upload and reconciliation reports at the end of term to confirm all documents have been received.
    • Yearly delete review and assignment forms from previous application cycles in WebAdMIT
    • Purge files from SharePoint and Shared Drive on a schedule.
  • Data Integrity
    • Assist with data integrity in Slate.
    • Run regular duplicate check reports.
    • Monitor error reports and report irregularities to director or senior admissions coordinator.
  • Additional duties may include answering phone calls or walk-ins as needed.

Financial Aid

Assist in the administration of federal, institutional, state, and private aid programs.

  • Federal Work-Study (FWS)
    • Log/track FWS positions
    • Process FWS job assignments
    • Monitor FWS student earnings
    • Monitor student enrollment
  • Master’s Tuition Scholarship
    • Review scholarship requests
    • Verify student eligibility
    • Monitor program eligibility changes
    • Monitor student enrollment
  • State and Private Aid
    • Private Loan Processing
    • State and outside scholarship certifications
    • Monitor and track receipt of payment
    • Monitor student enrollment
    • Additional duties may include communicating with students via email and case management system. Review/analysis of reports to ensure compliance and/or consistency of student data.

Minimum Qualifications (Mandatory):

    High School Diploma/GED 4 years progressively responsible administrative experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Special Knowledge, Skills & Abilities:

  • Technology skills - Systems this person would use (WebAdMIT, Access, OnBase, Slate, Excel, Adobe, Word, Outlook, PowerFaids, other 3rd party financial aid systems)
  • Organizational skills
  • Ability to multi-task
  • Communicate clearly and effectively with prospective applicants, applicants, and internal constituents.

Additional Information:

  • Overtime will be required during peak season
  • Spend 5 hours twice a week with Financial Aid.
  • Rest of 30 hours would be in admissions.

Starting Salary Range: $19.82 - $27.27/hr (commensurate with experience)

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
