Job Description:

GENERAL STATEMENT OF RESPONSIBILITIES:

The part-time Office Assistant will be responsible for providing clerical support to the Department of Arts and Communication and Department of Social and Behavioral Sciences and Human Services. Responsibilities include maintaining department records, preparing agendas and minutes of departmental meetings, processing supply orders, and general office/clerical duties.

EXAMPLES OF DUTIES:

1. Assist Department Chairs with procedural operations of departmental business.
2. Provide high quality customer service to students, faculty, staff, and the community.
3. Create and maintain departmental files.
4. Prepare monthly department meeting agendas and applicable paperwork.
5. Attend monthly department meetings.
6. Record and transcribe monthly department meeting minutes.
7. Order all departmental supplies.
8. Keep track of faculty attendance and submit weekly report.
9. Communicate with students and College departments as appropriate.
10. Answer telephone calls and provide routine information according to established procedures.
11. Receive and distribute incoming mail and packages, etc., to appropriate individuals in the departments.
12. Operate standard office machines and equipment.
13. Perform other duties as assigned.


Requirements:

MINIMUM QUALIFICATIONS:

1. Strong communication and organizational skills, attentiveness to detail and demonstrated clerical experience.
2. Ability to work amicably and tactfully with students, staff, and the general public.
3. Excellent time management skills, aptitude for proper task prioritization and a results-oriented work process.
4. Ability to type and familiarity with MS Office.
5. Strong document management skills including the ability to assemble items of information, work accurately with names, numbers, codes, and symbols, maintain accurate records and file materials in accordance with established procedures.

Additional Information:

COMPENSATION : $17.00 per hour, 18 hours per week during the Academic Year (September - May). Non-benefited, Non-unit Position.
