Job Summary

The University of Colorado Boulder's College of Music encourages applications for a Travel & Procurement Coordinator! This position is a member of the finance team in the College of Music and provides a variety of business services including booking travel; completing procurement card, travel card, and expense reports; processing reimbursements; and purchasing via p-card and CU Marketplace. The successful candidate will also be responsible for understanding, implementing, and communicating the university and college-level procurement and travel policies. We are looking for someone with strong communication and interpersonal skills to provide outstanding customer service to our internal and external customers.

Who We Are

The College of Music, founded in 1920, is recognized as one of the top comprehensive music schools in the country. The College of Music offers seven degree programs in over 28 fields of study, at the bachelor’s level through the doctorate. Our dedicated and supportive community of 550 degree-seeking students, 70 full-time faculty, 30 part-time faculty, and 30 professional, technical and administrative staff produces over 350 performances and numerous guest lectures, master-classes, and outreach events each year.

What Your Key Responsibilities Will Be

Travel Arranging
  • Understanding all campus/system policies related to travel;
  • When appropriate, developing and communicating complementary college policies;
  • Interpreting and applying knowledge of policies and standard methodologies when booking travel arrangements and supporting faculty and staff as they book travel;
  • Advising and educating faculty and staff on campus/college policy and visa protocols;
  • Arranging for visas and other documentation needed for international travel;
  • Arranging student group travel;
  • Reconciling budgets associated with faculty travel, student travel, and guest artist travel.
Procurement & Travel Card Oversight and Travel Expense Reports
  • Processing requests for new procurement and travel cards and cardholder updates such as card cancellations and changes to purchasing thresholds;
  • Understanding all policies related to procurement and travel card purchasing and communicating those polices to COM cardholders;
  • Monitoring timely submittal of expense reports across the college and communicating with cardholders who have un-submitted transactions;
  • Act as a delegate where needed to prepare procurement card and travel card expense reports on behalf of COM cardholders and travel expense reports for faculty travel;
  • Assist cardholders with forms and processes around fraudulent purchases on their p-card or travel card and with requests for tax refunds and submittal of tax-exempt forms.
Expense Reimbursement and Procurement
  • Processing employee and non-employee reimbursements in adherence to all university policies and procedures;
  • Processing purchases via procurement card and CU Marketplace, honorarium payments via CU Marketplace, warrant adjustments, payment authorizations, Scopes of Work, and other procurement-related forms;
  • Process cash/check deposits.

Dean’s Office and Special Project Support
  • Along with all other staff members in the Dean's office, provide customer service to walk-in traffic and to the College of Music's main phone line;
  • Provide special project support which may include administrative duties around large events such as the Cleveland Orchestra Residency (every other year), performances at Boettcher Concert Hall (every other year), conferences hosted by the College of Music or one of its units, and other types of occasional events.


What You Should Know

This position will support a hybrid work schedule (some in-person and some remote work).

What We Can Offer

The annual salary range is $48,000 - $50,000.

What We Require

  • Bachelor’s Degree. Equivalent combination of education and experience may substitute for the degree requirement on a year for year basis;
  • One year of related, professional experience in an office and/or customer service setting.


What You Will Need

  • Knowledge of Microsoft Office tools, including Outlook and Excel;
  • Knowledge of Google forms or similar web-based tools used for capturing information through surveys;
  • Ability to manage time effectively and work independently;
  • Problem-solving skills and ability to be organized and attentive to details;
  • Skilled at providing excellent customer service and interacting with customers.


What We Would Like You To Have

  • Familiarity with the University of Colorado’s procurement and travel policies and familiarity with expense reporting systems such as Concur and CU Marketplace;
  • Experience in travel coordination and/or procurement;
  • Degree or background in music or related field.
