Position Summary

The Collections Manager-Registrar oversees the collection of more than 6000 objects in the Mulvane Art Museum collection. Responsibilities include ensuring that all records are accurate, complete, and up-to-date; overseeing the safe handling, storage, movement, and exhibition of objects; serving as contact for researchers, faculty, and students; and assisting with the research, planning, and development of exhibitions, and educational programs associated with the collection.

Essential Job Functions of Position

Conduct and oversee research on objects in collection to ensure object provenance, donor information, and artist histories are current and accurate.

Oversee and ensure data is accurate and complete in collections database and that records are complete and up-to-date. Keep abreast of and ensure that Mulvane protocols are consistent with Best Practices (American Alliance of Museums).

Responsible for ensuring all objects in the collections have complete records including deeds of gift, loan agreements, accession records, location, condition reports, catalog information, research, provenance, digital images, artist profiles, appraisals, and exhibition documentation.

Maintain Best Practices and procedures for collections care, data entry, and inventory management; train staff and supervise compliance with Best Practices.

Serve as principal contact for physical access to collections for research purposes by students, faculty, guest curators, and researchers.

Research and develop interpretive content for works in the collection that is suitable for publication.

Oversee collections storage space to ensure the highest environmental standards and ensure the safe storage and care of collection. Collect data, analyze, and create reports in areas of environmental and pest control.

Participate in the review and updating of collections policies as needed.

Supervise work of Exhibition Coordinator and assigning tasks.

Participate in the development and presentation of educational programs, lectures, and events.

Communicate with lenders, shippers, museums, and collectors, and maintain complete and accurate record of all communications.

Develop and manage budgets related to exhibitions, collections preservation and conservation projects, and special events.

Assist with the development and implementation of exhibitions curated from the collection, other museums, collectors and artists.

Assist with donor development and raising funds for acquisitions, conservation, research, and exhibition development.

Other duties as assigned or as appropriate.

Non-Essential Job Functions of Position

Education and Experience

Bachelor’s degree with an emphasis in Art, Art History, Museum Studies, Library Sciences or related field and two years of experience working in an art museum or with art collections. Supervisory experience.

Preferred:
Experience and knowledge of 20th Century American Art.
Experience with collections management software and/or digital standards for collections such as: TMS, Museum Plus or Past Perfect.
Experience managing and archiving digital images with Photoshop.

Valid driver’s license with a driving record that meets University standards.

Additional Requirements (e.g. Physical Demands)

Ability to lift ladders, moving heavy objects such as paints, sculptures, art crates, and museum furniture weighing as much as 50 pounds.
