About the Position
The purpose of the Law Registrar is to maintain, interpret, and organize all law school course related records; Analyze, appraise, approve, supervise and interpret set-up of academic record system; Plan, prepare and coordinate yearly academic course schedule; Analyze, interpret, review and control the academic policies for all registration activities; Supervise, appraise and coordinate grading and examination procedures and policies; Appraise and maintain student handbook and website documents. Participate in Administrative Cluster, working with other Registrars, Cashier/Credit office and Student Financial Aid to improve coordination with other schools and move as many records and transactions online as possible.

What You'll Do
Class & Final Exam Scheduling (20%)
- Plan, prepare, maintain and negotiate class schedules for
academic year.
- Update course description.
- Control all processing necessary to assure online registration
will occur on time.
- Oversee creation of final examination schedule for both
semesters.
- Supervise exam procedures and processing in preparation of
exams and printing student answers.
- Develop, formulate and distribute exam policies and procedures
to faculty and students.
- Decide action taken regarding student examination problems
during exams and problems in printing student exams.
- Oversee ADA exam set-up.
- Preside over office distribution of unscheduled exams during
exam time.
- Analyze and approve online registration system.
- Establish, develop, implement and interpret online registration
system set-up.
- Supervise "in-house" registration as needed.
- Keep informed, forecast and recommend registration system
updates and adjustments.
- Maintain accurate documentation of all set-up routines, policy
standards and procedures necessary.
- Collaborate with faculty on grade input into Colleague.
- Disseminate documentation regarding class maximum grade average
policy.
- Gather all grades and supervise data input.
- Contact faculty with reminders.
- Calculate and approve class GPA and advise faculty if GPA does
not meet the necessary standard.
- Calculate GPA of students on probation, preparing documentation
for Assoc. Dean.
- Compile reports of students cumulative GPA and year GPA for
purpose of class rank and Dean Scholar list.
- Refer GPA calculation results for documentation on
transcripts.
- Create and refine process for auditing transcripts of
graduating class.
- Analyze students' transcripts to determine if graduation
requirements have been met and degree earned.
- Certify degree candidates.
- Record and research degree statistics.
- Supervise ordering of diplomas, special academic award
certificates.
- Appraise applications for special certificates and submit final
decision to appropriate administrators.
- Coordinate updates for final commencement program.
- Responsible for the selection, training, development, and
performance management of all direct reports.
- Build mutual trust, respect, and cooperation among employees
and campus community.
- Ensure that direct reports accomplish long-range objectives by
specifying the tactics to achieve objectives.
- Build and work with diverse teams effectively.
- Supervise office duties to guarantee timely processing and
consistent policy use.
- Oversee co-workers regarding yearly calendar of tasks to
coordinate transcript processing, class/professor evaluations,
processing of bar certifications, summer school set-up and
registration, advising of students; registration processing and
establishing communication with new students prior to school
starting.
- Assist administration and curriculum committee by preparing
statistics and data for a variety of needs as requested.
- Compile and compute student enrollment data for college,
director of institutional research, American Bar Association yearly
report, and other reports issued to law school for
submission.
- Appraise curriculum course offerings, enrollment, and
registration procedures and advise Assoc. Dean and Dean of issues
needing attention including recommending possible courses of
action.
- Act as the school certifying official for law students using
veteran's benefits. Ensure compliance with applicable regulations
and certify students for eligibility to use VA education benefits.
Maintain files for each student receiving VA benefits.
- Oversee enrollment and degree reporting to the National Student
Clearinghouse to ensure compliance with Department of Education
regulations.
Required Qualifications:
- 3 years of experience working in an academic setting.
- 3 years of analytical, written, verbal and interpersonal
communication skills.
- 3 years of computer and complex compilation skills.
- Knowledge of compilation and programming to gather statistical
data.
- Ability to grasp computer programming and the computer set-up
to determine the best method to download necessary information and
to develop efficient procedures.
- Ability to negotiate with faculty and thorough knowledge of how
scheduling is laid out (which classes to schedule first and to
avoid time conflicts of similar subjects).
- Ability to grasp large overview and skill in taking
initiative.
- Ability to write instructions clearly and update documentations
to promote accuracy and ease in using online registration.
- Knowledge of examination procedures; ability to interpret
policies and procedures and accurately express to others verbally
and in writing.
- Ability to make good decisions in stressful situations.
- Knowledge of all academic rules, particularly probation and
grade processing.
- General understanding of degree requirements and auditing
processing.
- Excellent math skills for calculating projected grade point
averages.
- Ability to work under pressure and tight time-frame.
- Knowledge of general registrar office duties and understanding
of the general handling of office tasks.
- Knowledge and skill in organizing and implementing tasks.
- Skill in writing procedures and policies for
documentation.
- Ability to grasp a clear overview of the yearly job cycles; to
develop and implement methods of office policy/procedures and to
project new methods of interaction.
- Ability to analyze processes and procedures to determine new
and more effective systems.
- Ability to disseminate new ideas and proposals.
- Skill in data input and running computer programs.
- 5 years of work experience in a Registrar's office.
- 5 years of computer programming skills.
- 1 year of supervisory experience.
- Knowledge of law courses and level of course status (basic,
advanced).
- Knowledge of examination monitoring and/or working with
examination processing.
- Knowledge of grade distribution processing.
- Knowledge of auditing degree requirements and advising students
regarding degree requirements.
- Knowledge and skill in supervising and delegating.
- General knowledge of law school academics.
- Knowledge and familiarity in analyzing, disseminating and
recommending procedure and process changes.
- Familiarity with Colleague Datatel programming. Knowledge of
online registration and set-up for such systems.
- Familiarity with Datatel's WebAdvisor; especially in running
query builder statements/reports.
