The Williams College Office of Alumni Relations is seeking a full-time (40 hours/week) Program and Events Coordinator. Dedicated to an ever-growing and increasingly diverse alumni body, the Alumni Relations Office serves as a primary liaison between its constituency and the College. Promoting lifelong engagement through events, programming, and services, the Alumni Relations Office connects members of the Williams family to each other and the College.

Reporting to the Deputy Director of Alumni Relations, the Program and Events Coordinator is responsible for the logistical needs and coordination of AR programs, including on-campus, off-campus, and digital events. This includes managing planning timelines and task lists, developing staffing and event schedules and booking and hiring necessary vendors, caterers and venues. The Program & Events Coordinator supports programming across all AR portfolios, including on-campus events like Reunion, Homecoming, Fall Minis and Bolin Legacy Weekend, as well as off-campus events such as Presidential regional receptions, faculty lectures, football telecasts, send offs, Pride, career networking events, and Martha’s Vineyard WBAN event. Program support extends to digital events and initiatives as needed, such as alumni webinars, faculty lectures, and volunteer trainings.

Responsibilities
  • Work closely with Deputy Director of Alumni Relations and division colleagues to plan, execute, and evaluate events aimed at increasing engagement across the alumni body
  • Develop and manage relationships with internal AR staff, campus partners, external vendors, and alumni volunteers in service of event coordination and execution
  • Assist with office-sponsored events, including on-campus, off-campus and virtual programs, with occasional evening and weekend support required
  • Coordinate with external vendors, venues, caterers
  • Schedule space and manage calendars


Qualifications
  • Bachelor’s degree and a minimum of 2 years of experience, or the equivalent combination of education and experience
  • Demonstrated event planning and execution experience;
  • Customer service, and excellent oral and written communication skills, including email correspondence and proofreading, is essential
  • Ability to interact effectively with people of different cultures and socio-economic backgrounds
  • Volunteer management and data reporting expertise is a plus
  • Professionalism, confidentiality, a positive attitude and the ability to collaborate with others
  • Strong technology acumen – particularly the ability to create and analyze data-driven success metrics
  • Willingness to attend campus events to transport and distribute events materials
  • Attention to detail and administrative workflow
  • Ability to manage the logistics of multiple events simultaneously
