The Department of Student Affairs is seeking aStudent Enrollment Services Advocate (Student Services Administrator) who will work under the general direction of the Student Affairs Officer and will be responsible for the oversight, daily management, and advocacy for escalated student enrollment management issues, including student account operations, enrollment, and institutional financial aid. The successful candidate will enjoy problem-solving complex issues, be adept at navigating a matrixed organization, and have a commitment to providing the highest levels of customer service to students, faculty and staff. This role will serveas the school-based point of contact forJohns Hopkins University’sStudent Enrollment & Account Management (SEAM) for escalated problem solving, advocacy for student needs, and resolution.

Specific Duties & Responsibilities:

  • Respond to complex questions from students and families that the SEAM cannot address due to division specific practices and/or unique student circumstances.
  • Act as liaison for problem solving between SEAM Financial Aid/Student Accounts teams and Carey Business School leadership, faculty, and staff.
  • Problem solve related to issues with Carey student records and accounts.
  • Manage the department inbox in a responsive and timely manner.
  • Responsible for the oversight of administration of institutional aid awards in collaboration with the school’s Admissions and Finance departments, and in coordination with the university Financial Aid team. This includes, but is not limited to, serving as a liaison with program coordinators, problem-solving, data auditing, troubleshooting, and communicating with students.
  • Serve as a liaison with SEAM Financial Aid for compliance matters related to institutional aid.
  • Serve as a liaison with the Carey Development department for all endowed scholarships.
  • Track and review total endowed funds spent per academic and audit regularly.
  • Track other credits or hardship funds, in coordination with student affairs.
  • Verify data integrity for tuition for special cases and dual degree.
  • Provide reports regularly and analyze service level needs with Executive Director for Student Affairs for continuous improvement. Responsible for knowing software applications for running reports and analyzing data to meet service level agreements.
  • Assist with graduation student accounts recordkeeping, including processing of graduation holds and communication with registration team.
  • Communicate FT/PT rates for each program each semester.
  • Update website regularly and as needed (updated rates, fees, etc.)
  • Transmit physical and electronic material to the relevant SEAM office in accordance with University data protection and privacy policies.
  • Ensure manual tuition changes for special programs or other needs are handled accurately.
  • Create and deliver ad hoc reports from Student Information System and SAP, as needed.
  • Serve as divisional knowledge resource regarding Registration/Financial Aid/Student Accounts best practices and liaise with Finance, Registration, and Software.
  • Ensure that the division maintains compliance with all applicable federal, state, and institutional rules and regulations by utilizing extensive knowledge of information, practices, and procedures to respond to inquiries, questions and ad hoc requests.
  • As needed, assist with setup, maintenance, changes, testing, and use of SIS (Student Information System) in coordination with registration, IT, and finance.
  • Make Handbook Updates, as needed.
  • Participate in internal Carey Data Integrity and Reporting Committee (CDIRC)
  • meetings with IT, Admissions, Registration and others for program review and configurations.
  • Participate in future implementation or continuous improvement projects as needed.
  • Other duties as assigned.

Minimum Qualifications (Mandatory):

  • Bachelor’s Degree and at least five years related experience required. Additional experience or education may substitute for required experience to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Previous experience in higher education financial aid and/or student accounts strongly preferred.
  • Knowledge of compliance requirements for both financial aid and registration transactions and operations preferred.

Special Knowledge, Skills & Abilities:

  • Experience with financial aid as well as student accounts, preferably in a higher education setting.
  • Highly skilled customer service capabilities.
  • Excellent oral and written communication skills.
  • Excellent organization skills,attention to detail, and accuracy.
  • Skills in collaboration and working across organizations to meet stakeholder needs and expectations.
  • Willingness and ability to learn additional applications as needed.
  • Flexibility in dealing with a very diverse culture, and commitment to diversity and to serving the needs of a diverse population.
  • Working knowledge of Excel, Word, and Access.
  • Experience in the use of enrollment services related software and systems (e.g. SIS, PowerFAIDS, CourseLeaf, OnBase, etc.)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
