The University Communications Office seeks aSenior Administrative Coordinator who will provide joint high-level of administrative support to the Assistant Vice President (AVP) of Strategic Communications and Assistant Vice President (AVP) News and Media Relations. The Sr. Administrative Coordinator is an important and visible role, communicating and interacting with senior leadership offices (including, but not limited to, the President’s Office, Office of the Provost and Deans Office). This position will report to and work closely with the Executive Assistant to ensure efficient daily operations for the University Communications department.

Specific Duties & Responsibilities:

  • Independently manage a conflict-free calendar for the AVP of Strategic Communications and AVP of News and Media Relations by organizing high-level meetings, prioritizing requests, anticipating schedule conflicts, and taking initiative to resolve conflicts in a timely manner.
  • Keep AVP’s on schedule and abreast of changes and high-level concerns, throughout each day.
  • Ensure AVP’s are fully prepared by proactively identifying materials needed for upcoming meetings and events, including compiling, and preparing materials, confirming meeting details and expectations.
  • Assist in project management (schedule meetings, create timelines, prepare agendas, disseminate reports, and recording minutes).
  • Coordinate and manage interview schedules and logistics in collaboration with HR
  • Make travel arrangements and submit travel expense reimbursements in Concur.
  • Perform accounts payable functions (online payment requests, and purchase orders) and keep records of payments through the SAP system.
  • Offer operations support toJohns Hopkins Magazine,including but not limited to direct mailing campaigns and monitoring the Johns Hopkins Magazine email account daily and respond to general inquires in a timely manner.
  • Assist news and media relations team with data entry and special events.
  • Provide back up support to the administrative coordinator as needed.
  • Assist in coordinating office-wide meetings and special events as requested by the Executive Assistant.
  • Any other duties as assigned.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED and five (5) years of progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Five years of related experience required. Additional education may be substituted for years of work experience.
  • Two years college or equivalent work experience preferred.
  • Highly developed organizational skills with the ability to multi-task.
  • Excellent interpersonal, verbal and written communication skills.

Special Knowledge, Skills & Abilities:

  • Proficiency in MS Word, PowerPoint, electronic calendar, excellent spelling and grammar, excellent interpersonal and organizational skills, ability to handle multiple complicated tasks, prioritization skills.
  • Ability to operate PC, laser printer, fax, scanner, copier, and multi-line phone.
  • Must be able to operate a personal computer to access email, electronic calendars, and operate basic office support programs including Microsoft Windows programs.
  • Experience using SAP strongly preferred.
  • Ability to work independently and multitask.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $19.82 - $27.27/hr (commensurate with experience)

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
