Job Summary

Reporting to the Director of Graduate Admissions & Program Evaluations (GAPE) in the College of Graduate Studies, the Evaluation Specialist is responsible for coordinating and executing the communication plan and evaluation of all new and continuing graduate students attempting to complete Title 5, CSU and University graduate admissions and degree requirements. They evaluate complex academic records/credentials of students applying for admission to the university and/or graduate program or for graduation. The Evaluation Specialist’s responsibilities include the evaluation of complex policy and exceptions, SEVIS requirements, international records or non- standard college transcripts and also serve as a resource person to Graduate Program Evaluators, including presentations regarding policy and practice, project coordination, and specialized support for the GAPE office. The position conducts international and domestic graduate admissions evaluation and graduation assessment, ensures timely visa processing, coordinates the practice of upholding all policies set by the Director of GAPE, and actively collaborates with other university staff involved in various aspects of admissions and records processing to ensure that interrelated processes are completed in a timely manner. The objective in all interactions is to streamline operations, provide excellent customer service, communication, and establish cordial and collegial relationships with those contacting the GAPE Office.

  • Knowledge of methods, procedures, practices and activities of international admissions
  • Ability to interpret and apply program rules and regulations
  • Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of the campus
  • Knowledge of technology and software applications such as: word processing, spreadsheet, database management, and communication tools
  • Ability to perform accurately in a detail-oriented environment. Must plan and execute multiple work priorities, organize and plan work and projects. Must show attention to detail, accuracy, and thoroughness
  • Ability to maintain an understanding of the academic year calendar and processing cycles that affect the workflow of the Graduate Admissions and Program Evaluations unit and the Enrollment Services department
  • Ability to advise students individually and in groups on complex student-related matters; ability to determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions
  • Thorough knowledge of the principles of individual and group behavior; general knowledge of individual counseling techniques
  • Ability to adapt and maximize productivity through use of appropriate tools (e.g., student database programs, imaging equipment); planned training and performance initiatives; research, adapt, and develop resources that create timely and efficient workflow
  • Ability to check complex records and detailed information for compliance with CSU requirements for both domestic and international student applicants
  • Ability to make sound decisions and work efficiently under pressure
  • Ability to analyze complex situations accurately and adopt effective courses of action
  • Ability to establish and maintain effective, cooperative and harmonious working relationships in circumstances that involve the denial of requests or the necessity to persuade others to consider a different point of view
  • Ability to interact with a variety of internal partners from Academic and Student Affairs to the Office of the President, communicating effectively and professionally
Required Qualifications
  • Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related
  • Three years of progressively responsible professional student services work experience. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.
Preferred Qualifications
  • Master's degree in Higher Education, Counseling, Behavioral Sciences, Organizational Change, or related field
  • One year of full-time experience in a graduate admissions or records office working directly with graduate students and evaluations
  • One year of direct exposure to working with international students, international evaluations, etc.
  • Demonstrated excellent verbal and written communication skills


Compensation

Classification: Student Services Professional III
Salary Range: $4,691/month - $6,683/month

All background checks are conducted through the university's third party vendor, Accurate Background. Some positions may also require fingerprinting. SJSU will pay all costs associated with this procedure. Evidence of required degree(s) or certification(s) will be required at time of hire.
