Job Summary
Reporting to the Director of Campus Relations, this position is responsible for the facility space utilization across the campus for internal and external customers. This responsibility includes, but is not limited to assisting in the planning, facilitation, and implementation of campus-wide events in coordination with vendors, campus leaders, external customers, etc. The position also supports the director in facilitating large, off-site events in support of academic programs such as pinning ceremonies and related activities hosted by the Office of the President.
Essential Duties and Responsibilities
Performance Requirements*
- Coordinates the use of TCC facilities and spaces and the appropriate level of support/costs for rentals for a wide range of events
- Monitors activities as needed to ensure successful outcomes, sometimes after-hours or on weekends
- Liaises with district departments for planning purposes, i.e., police, marketing, procurement, communications, etc.
- Assists Director in establishing space utilization procedures, logistical planning for special events and visits, and ensuring that events adhere to the College guidelines
- Develops, maintains, and communicates a calendar of events and activities
- Assists in preparing and coordinating campus tours, including preparing and distributing agenda packets and correspondence related to tours/ events and following through on assigned tasks
- Manages, evaluates, and troubleshoots event-related activities effectively; recommends and implements adjustments, as needed
- Utilizes room management software to prepare and analyze space utilization reports
- Prepares and processes accounting, budgeting, and purchasing documents related to operations and activities
- Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
- Completes all required training and professional development sessions sponsored through the Tarrant County College ( TCC ) Institute
- Supports the values of the College: diversity, teaching excellence, student success, innovation and creativity, and service to the College
- Supports the mission, values, and 3 goals and 8 principles of the College
SUPERVISION – Works under the general supervision of the Director of Campus Relations.

Required Education, Experience, Certifications, Licensures
- High School Diploma or General Equivalency Diploma ( GED )
- Five (5) years of related experience coordinating events, in event/ conference coordination
- Must be able to work evening and or weekend hours on occasion
- Associate’s degree
- Eight (8) years of related experience
- Experience planning meetings, events, or other activities in a college or university setting
- Bilingual in English and Spanish
- Experience using room reservation software
- Ability to work independently and meet critical deadlines
- Detail-oriented for accuracy of data and information
- Excellent written and oral communication skills
- Excellent time management skills and ability to multitask and prioritize work
- Project management-related skills
- Ability to work independently and meet critical deadlines
- Demonstrated track record of collaboration, cooperation, and service across departments
- Ability to work effectively in a collaborative environment and a setting that is diverse and urban
