Job Description

Description:

This position is responsible for collecting, retaining, organizing, and disseminating critical and informational communications for the Office of the Provost. It is also the key event coordinator of all commencement ceremonies for the university.

Responsibilities:

Event Planning: 45%
  • Compose, review, research, and compile information to provide on-demand presentations for Provost.
  • Develop and coordinate communications and interaction between the Office of the Provost and faculty, staff, students and external constituencies.
  • Represent the Provost and Vice President for Academic Affairs as directed, notifying them of topics discussed and any requests for action.
  • Plan and design surveys as necessary. Summarize survey data for Provost.
  • Act as Event Coordinator for University Commencement ceremonies (May, August, December).
    • Interact via verbal, written and interpersonal communication to coordinate all activities related to commencement to include website maintenance, marketing campaigns (including one for each individual ceremony, grad fair, and graduation application deadlines), program development, script preparation and review, location logistics, scheduling and attending briefing meetings with all departments involved, and securing vendors for catering, decorations, and various retail services.
    • Train staff and student participants who assist with ceremonies.
    • Encumber funds needed for event execution.
  • Act as Event Coordinator for annual Promotion and Tenure honorees.
    • Interact via verbal, written and interpersonal communication to coordinate all activities related to Promotion and Tenure event to include website maintenance, program development, location logistics, scheduling and attending briefing meetings with all departments involved, and securing vendors for catering, decorations, and various retail services.
  • Act as Event Coordinator for other major Provost events (e.g., student success initiative).
  • Communicate details of events clearly and effectively to stakeholders and guests utilizing scheduling software such as Microsoft Outlook and other calendar applications.


Communications: 25%
  • Develop and coordinate communications and interaction between the Office of the Provost and faculty, staff, students and external constituencies.
  • Maintain all faculty listserv and coordinate with other departments on campus to provide timely messaging.
    • Provide other departments with suggested schedule of announcements release.
    • Create and manage release dates for reoccurring announcements.
    • Collaborate with MarCom to ensure all messaging aligns with university vision and mission.
  • Maintain Academic Affairs web content to include:
    • Keep information on the Academic Affairs Staff page current and accurate.
    • Review and update links to external sites from all pages periodically.
    • Post special announcements and messages from the Provost.
    • Maintain current lists of recipients on the Emeriti Faculty and Regents' Professors pages.
    • Update Academic Fiscal Affairs site with guidance from the Business Analyst.
    • Design and create new pages upon request.
  • Plan and design surveys as necessary. Summarize survey data for Provost.
  • Compose, review, research, and compile information to provide on-demand presentations for Provost.


Relationship Management: 20%
  • Build and maintain relationships with key stakeholders and departments across campus, such as the Registrar's Office, Student Success, University Center, and Center for Faculty Excellence.
  • Represent the Provost and Vice President for Academic Affairs as directed, notifying them of topics discussed and any requests for action.
  • Serve on a variety of university committees and councils which include:
    • Waves of Welcome Committee
    • Coordinate staffing at all information tables for the first week of classes
    • Homecoming Committee
    • Conduct staff appreciation event(s) during this time and aides in promoting staff spirit and comradery
    • Web Council
  • Liaison for Academic Affairs for campus bookstore, aiding in communicating textbook adoption rollout and compliance.


Other : 5%
  • Perform other related duties as assigned.


Qualifications:
  • Bachelor's Degree in applicable field (e.g., communication, marketing).
  • Four (4) years of related experience in project coordination/administration.
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Excellent verbal, written, and interpersonal communication skills.
  • Knowledge of standard proofreading.
  • Ability to multitask and work cooperatively with others.
  • Ability to prioritize, manage multiple projects, and meet deadlines.
  • Ability to take and implement given feedback for improvement of activities.
  • Ability to occasionally work outside of regular business hours


Preferred Qualifications:
  • Master's Degree.
  • Bilingual, conversational in Spanish.
  • Experience working in a higher education environment.
  • Three years of related experience in event planning.
