Controller's Office Job Description

Job Summary

Support the accounting and compliance functions of the College. Prepare, review and post journal entries and reconcile accounts. Participate in monthly closing processes, including accrual calculations, postings and reconciliations for operating and capital activity. Post bank activity and credit card transactions and complete bank reconciliations. Maintain proficiency in Workday and support the Smith community in its use. Understand and enforce policies and procedures. Assist in the preparation of the quarterly financial reports, annual audited financial statements, management reports, and required filings. Participate in continual process change and improvement. Support other members of the Controller and Finance department as appropriate.

Essential Functions

General Accounting (85%)

A member of the accounting team, this position in instrumental in the general ledger closing process and production of timely and accurate financial information. Prepare and post journal entries. Review and process journal entries prepared by others. Complete account reconciliations for assigned areas and post adjusting journal entries. Support the account reconciliations of others. Post cash and credit card transactions. Research reconciling items and participate in the reconciliations of college bank accounts related to academic operations, foreign activities, accounts payable, cash sales, and gift receipts. Reconcile online and credit card payments. Review unclaimed checks and support the escheatment process. Assist in the preparation of compliance and management reports and support the annual audit process. Respond to inquiries and research questions from stakeholders. Support the management of the student loan portfolio. Assist in the preparation, coordination, and implementation of accounting policies and processes of the College. Provide guidance and training to departments in the use of financial systems and with accounting matters.

Other Functions

Other (15%)

Assist the accounting, payroll and student employment teams in projects and processes. Serve as backup for other team members.

Perform other duties as assigned.

Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)



Bachelor's degree and three years of relevant experience and/or an equivalent combination of education and experience. Demonstrated intermediate accounting knowledge; non-profit and higher education experience preferred.

Experience working with individuals from diverse backgrounds.

Preferred Qualifications

Master’s degree and/or professional certification such as CPA preferred. Workday experience.

Skills

Excellent written and oral communication skills. Demonstrated customer service experience in supporting users with accounting processes and systems. Deadline and detail oriented. Analytical approach to complicated reconciliation and data problems. Advanced MS Excel skill and proficiency with MS and Google suites and complex cloud-based financial systems. Familiarity with database queries and reports. Ability to organize and prioritize work, take initiative, resolve problems, and manage multiple tasks. Capacity to work independently and part of a team.
