Administrative Assistant 2, Course Scheduling



General Summary

The Administrative Assistant 2 provides professional support to the Highline Curriculum Manager and the Scheduling Office. This work includes class scheduling, yearly catalog work, working with the college's online course management system and classroom assignments and reservations. While primary duties fall under the scheduling department, this position may perform occasional administrative support for the Office of Academic Affairs.

This position is a classified full-time position, which is eligible for overtime.
Schedule: Mon -Fri, 8am-5pm

Salary Information : The above salary range reflects the starting step of Range 37 (Step C) for this classified position and includes a 5% King County compensation provision. As a new employed classified employee, based on annual increments, it will take 5 years to reach Step L on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future.

Essential Tasks

Reporting to the Course Information Manager, this position will:
  • Use the 25live room scheduling software to book classrooms for events and classes, run and crosscheck queries and reports with PeopleSoft (ctcLink) for accuracy, and provide backup to conference services as needed;
  • Use PeopleSoft (Campus Solutions) to add, cancel and update courses, and run and cross check queries/reports;
  • Use Curriculog (online Course Management System) to add, update and retire courses; Attend occasional meetings on behalf of the Scheduling Office;
  • Complete special projects as assigned;
  • Provide backup and assistance for the Office of Academic Affairs.

Ability to:
  • Communicate effectively, both written and verbally;
  • Work independently with a high degree of accuracy and efficiency;
  • Work and interact effectively with colleagues, staff, students, administrators and others of various cultural, social-economic backgrounds and abilities;
  • Learn new computer programs and systems;
  • Work as a strong team player;
  • Proficiently use Microsoft Office.


Qualifications

Minimum Qualifications:
  • An Associate's degree; AND
  • Two years of full-time administrative experience;
OR
  • Administrative experience may be substituted for education on a year-for-year basis.
Preferred Qualifications:
  • Experience coordinating projects or programs;
  • Experience working in a college or educational setting;
  • Administrative experience supporting a director level or above.


Supplemental Information

Conditions of Employment
Highline College does require COVID-19 vaccinations for all students, staff and faculty –– with waivers for specific exemptions –– for those who physically attend courses, operations, or other in-person activities. This decision was made in accordance with higher education proclamation 20-12.4. A candidate will not be asked to report their vaccination status unless they are hired by the college. If a candidate chosen for hiring is not fully vaccinated from COVID-19 and plans to submit a medical or religious exemption to this employment condition, the hiring process will be suspended until a decision has been made regarding any exemption application which is submitted.
