The Development & Alumni Engagement Coordinator provides administrative support to the Assistant Dean for Advancement and the Development and Alumni Engagement staff at the Newhouse School of Public Communications at Syracuse University. Duties include day-to-day operational support, including scheduling meetings, coordinating correspondence, travel arrangements, expense reports, invoice and requisition processing, and other office tasks. This position oversees the Newhouse School branded promotional gift items inventory and orders for the school; assists with volunteer board tracking, meetings and communications; scheduling of alumni/donor visitors & tours; and other special arrangements as needed. This position performs administrative tasks related to department alumni outreach and engagement events; tracks records and profiles for the Newhouse Alumni Professional Gallery; and assists with capturing and entry of alumni engagement activity for the university database. Fundraising support is also provided to assist with executing acknowledgements and preparing appeals, campaigns and mailings. Qualifications
Associate’s Degree or Bachelor’s Degree, with 3-5 years of relevant experience in executive level coordinator assistance support.

highly professional Responsibilities
Oversee general office operations including reception, supplies, central files, mail/phones, etc.
  • Provide administrative assistance to the Assistant Dean for Advancement and department staff.
  • Assist with scheduling meetings, correspondence, travel arrangements & reservations, and other general day-to-day administrative support.
  • Prepare and submit financial reimbursements for department members.
  • Reconcile employee travel expense and monthly reports. Handle invoice processing/requisitions and interdepartmental order forms for department.
  • Maintain and update internal department calendar of events and activities.
  • Monitor department email accounts.
  • Manage Newhouse Advisory Board and Newhouse 44 volunteer board lists and database; assist with board meetings and related activities, meeting minutes, preparation of materials, emails, etc.
  • Serve as central person for distribution of department/staff email communication with board members. Assist with special request tours for alumni/donors and prospective students and guests.
  • Assist development staff with fundraising tasks, such as printing and distribution/mailing of donor acknowledgment letters, specified data retrievals, and other special and general correspondence.
  • Assist with special fundraising appeals such as the Calendar Year End, Boost the `Cuse, Make Your Mark and other strategic outreach.
  • Play a leadership role with the planning and execution of the Class Act effort to increase student philanthropy.
  • Provide Honor Roll of Donors and Advisory Board lists for Newhouse Network magazine.
  • Work with Assistant Director of Development on alumni engagement outreach and special events as needed for event planning, execution and follow-up.
  • Work with alumni engagement staff to capture data for Alumni Engagement Scorecard entry in the university’s database.
  • Track and manage records and data for the Newhouse Alumni Professional Gallery.
  • Oversee Newhouse School branded promotional items distribution and inventory for the Newhouse School faculty and staff.
  • Other duties as assigned.
