Description

Columbia Basin College (“CBC” or the “College”) seeks a Program Support Supervisor 1 to supervise support staff involved in the performance of duties associated with highly specialized programs within the Math, Science & Engineering Division. The position serves to coordinate the daily operation of the Dean's Office, and the departments of Agriculture, Life Sciences, Math, Physical Sciences, Observatory, Engineering Technology, and Planetarium. This position reports to the Dean for Math, Science & Engineering.

Primary Responsibilities
  • Supervise and establish staff work priorities, work schedules and assignments and ensure departmental deadlines are met; conduct performance evaluations for support staff;
  • Monitor budget status in line with program activities, plans or priorities; maintain program budgets and initiate corrective action; sign vouchers; receive, process and deposit funds; assist in the preparation of grants and proposals;
  • Edits, revises and updates the payroll download for S3 extra­ contractual payroll; works closely with HR to ensure proper processing of paperwork and reports such as, timesheets and time reports; responsible for submitting time for divisional work study students and preparing budget status for the Dean for Math, Science & Engineering;
  • Update and maintain comprehensive records of class scheduling, faculty workload, and class enrollments, including documenting changes in the schedule throughout the process from initial draft to final offering;
  • Organize, prepare, and works with program leads in constructing quarterly classes;
  • Provide administrative support services to the Dean for Math, Science & Engineering, and to programs within Math, Science & Engineering Division;
  • Perform complex scheduling and preparation of reports pertinent to the needs of the division;
  • Advise students, staff, program participants and/or the public regarding program content, policies and activities; recommend alternative courses of action;
  • Assist in developing and implementing new department procedures, exercise independent judgment in interpreting and applying rules and regulations;
  • Use advanced word processing, graphics, statistical, spreadsheet and/or data base software to complete departmental assignments;
  • Evaluate inventory and equipment needs for instructors and program staff and order as needed using the Procure+ software and or the P-Card;
  • Maintain and monitor on-line content of Math, Science & Engineering Division webpages; and
  • Perform related duties as required.
Required Qualifications
  • High school diploma or equivalent; and
  • Three (3) years of administrative support experience working in position(s) such as an administrative assistant, secretary, program coordinator, program support or related field.

  • Equivalent education/experience.

TERMS OF EMPLOYMENT:

This position is a twelve-month (12), full-time, overtime-eligible, classified staff position. The typical work hours for this position are Monday through Thursday from 7:00 a.m. to 4:30 p.m. and Friday from 7:00 a.m. to 12:00 p.m., however; must be available to work a flexible schedule when prior notice is given by the College. This position is available immediately.
