Description:

The Executive Assistant in the Office of the President is a 12-month, full-time position. This position provides direct administrative support to the President and Chief of Staff, as well as managing the President's Office. This position reports to the Chief of Staff and is responsible for a broad and complex set of assignments related to the duties of the President. This position demonstrates commitment to continuous quality improvement and to providing outstanding service to a variety of internal and external University stakeholders and maintaining an overall standard of excellence for the entire campus and community.

Responsibilities:
  • Facilitate the efficient utilization of the President's time through development and coordination of a complex calendar of appointments, meetings, social engagements, and university and community functions with individuals and groups.
  • Promote a positive image of the University by greeting and receiving visitors to the President's office, via phone or email, responding to inquiries from diverse University publics (e.g., students, parents, faculty, staff, legislators, alumni, the media, donors, friends of the University, community leaders, and public officials), referring inquiries or problems to the appropriate office or person, resolving problems, and following up to determine the inquirer's satisfaction with the response.
  • Demonstrate professionalism and quality customer service by developing positive working relationships with office personnel and various stakeholder groups, maintaining strong technology skills including database, presentation applications, and software platforms.
  • Excel at following directions and meeting deadlines, completing assigned projects with minimal supervision, prioritizing tasks, and multitasking.
  • Facilitate communication between the President and other University administrators, members of the Texas A&M University System, public officials, community leaders, various boards, faculty, staff, students, and the various publics served by the University.
  • Safeguard the confidentiality of university administration by exercising discretion in communicating information to faculty, students, staff, and the various publics served by the University and in handling administrative records, file, and similar confidential items.
  • Review and monitor correspondence and documents prepared by other offices for the president's signature, as well as documents prepared by the President's Office for completeness and accuracy.
  • Provide direct support to the Chief of Staff during event planning and execution
  • Facilitate reimbursements and purchasing card reporting in a timely fashion for President and Chief of Staff.
  • Facilitate efficient and cost-effective official travel for the President and other official visitors by making travel arrangements and preparing associated approval forms and expense reports for travelers, to include fast-paced and ever-changing travel needs for the office.
  • Provide information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in useable and understandable formats.
  • Perform records management of a complex filing system by overseeing the filing system, creating files and records as necessary using judgment and knowledge of office requirements, updating files and records, determining retention, and purging schedules, and retrieving files and documents as needed.
  • Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  • Contribute to the overall success of the University by performing other essential duties and responsibilities as assigned.



Qualifications:
  • Bachelor's degree.
  • Four (4) years of progressively responsible experience in supporting executive and/or c-suite leadership.
  • Additional education / experience may be considered as a substitution.
  • Experience supporting high level and/or c-suite executive travel.
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Exceptional time management skills and punctuality.
  • Excellent communication, organizational, administrative, problem solving, and human relations skills; must possess a style that exhibits leadership, sensitivity, maturity, and teamwork.
  • Demonstrated commitment to service excellence.
  • Ability to be flexible and to work in fast-paced, high-pressure environment sometimes outside of normal work hours.
  • Must have the highest ethical standards, show good judgement, and maintain confidentiality.
  • Takes initiative and maintains good relations with internal and external contacts.


Preferred Qualifications:
  • Graduate degree.
  • Five or more years of progressively responsible experience in supporting executive and/or c-suite leadership.
  • Experience in a Texas Public Higher Education System.
  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
