The Editorial Office Assistant will support the mission of Bucknell University and Press by providing administrative and editorial support to the Director and Managing Editor, maintaining office efficiency and participating appropriately in Bucknell University Press activities. This is a part-time, limited benefits eligible position that will be generally scheduled to work 20 hours per week.
Job Duties:
- Provide administrative support for the Press's day-to-day
operations in coordination with the Managing Editor and Director,
including but not limited to: serving as liaison with University
departments, distribution partner Rutgers University Press,
professional associations, authors, peer reviewers, Bucknell
University Press editorial board members, and Bucknell
faculty.
- Research and solicit peer reviewers for manuscript assessment,
distribute reviewer agreements, and process payments for
reviewers.
- Create, update, and maintain spreadsheets, presentations,
departmental files and databases in support of Press' projects,
publications, meetings, and other activities.
- Assist with communications to internal and external
consistencies, including but not limited to social media, website,
and internal campus communications.
- Following Chicago Manual of Style and in-house style
guidelines, format manuscripts and review manuscript proofs as
needed.
- Proofread book catalogs.
- Solicit book endorsements from manuscript reviewers and
appropriate specialists, track and upload endorsements in title
management software. Excerpt endorsements from post-publication
book reviews for promotional purposes.
- Review and edit metadata as needed for uploading ebooks to BU
Digital Commons.
- Research possible funding sources to cover costs associated
with publication as needed.
- Answer phones, respond to general inquiries, maintain files,
receive and distribute mail and communications; and use a computer
with a variety of office software applications, including
department specific software, title management database, word
processing, email, and file management.
- Receive and process requests for catalogs, book orders, review
copy requests in a timely manner.
- Order copies of new publications and distribute to appropriate
parties.
- Distribute ebooks files to authors upon publication.
- Distribute books reviews from our journals to other
publishers.
- Coordinate logistics for meetings, speakers, etc., including,
but not limited to, scheduling/reserving rooms, ordering food,
preparing handout materials, set up and cleanup of the
event.
- Order office supplies as needed.
- Additional duties as assigned.
Minimum Qualifications: - Bachelor's degree
- Previous relevant administrative/office experience.
- Familiarity with Chicago Manual of Style, 17th
edition
- Exceptional customer service skills, strong attention to detail
and the ability to prioritize deadlines and successfully manage
multiple priorities.
- High-level written communication skills.
- Proficiency with computers and related devices as well as
software packages including word processing, spreadsheet, email and
calendaring applications
- Demonstrated ability to positively interact with a wide range
of individuals and a commitment to diversity and
inclusiveness.
- Demonstrated ability to work independently as well as in a team
environment.
Preferred Qualifications: - Previous editorial experience with scholarly content
preferred.
Physical Demands: - This position involves occasional lifting up to 40
lbs
- This position involves long periods remaining stationary and
the ability to operate a computer and other office machinery
